Role Description: The Administrative Assistant is a part-time, on-site role based in Madison, WI. This role supports day-to-day office operations, including email management, organizing and setting agendas for meetings for program leaders, funneling inquiries, following up with members and referrals, and maintaining accurate records. Responsibilities include handling phone calls and email inquiries, greeting visitors, and providing logistical support for meetings, events, and programs.
The Administrative Assistant will assist with data entry, basic reporting, and coordination of communications with partners and participants. This position works closely with leadership and program staff to ensure smooth workflows and a welcoming environment for community members.
There is a possibility for this position to grow! Perfect position for a graduate student who also wants to do quantitative community needs assessments. $500 stipend. 5-10 hours per week. Tuesdays
- Thursdays. 1 day in-person; the rest can be done from home.
Qualifications
- Strong administrative and clerical skills, including Administrative Assistance and Clerical Skills.
- Professional communication abilities, including clear written and verbal Communication and effective Email Etiquette. Bilingual in Spanish highly preferred.
- Experience providing Executive Administrative Assistance or supporting organizational leadership.
- Proficiency with standard office software Google Suite, Google Tasks, AI, and some Canva, CRM, WIX, and keeping track of opportunities. Lots of word processing, spreadsheets, email, calendars, and comfortable working with Latinas, Spanish Speakers, and Black women.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and priorities.
- Commitment to equity, inclusion, and serving diverse communities; prior experience in nonprofit or community-focused work is beneficial.
- Ability to work on-site in Madison, WI, maintain confidentiality, and demonstrate reliability and professionalism.
