Executive Assistant to the President

LB Contract Supply — Madison, WI
Full-Time | On-Site

About the Role

LB Contract Supply is a growing commercial construction supply and services company operating across multiple markets. We are building the systems, technology, and processes needed to support continued growth.

We are looking for an Executive Assistant to the President who is highly organized, resourceful, technologically capable, and unusually strong at problem-solving and follow-through.

This is not a traditional administrative assistant role.

The President does not need someone who simply waits for instructions, completes isolated tasks, or asks for step‑by-step direction. He needs someone who can understand the intended outcome, make reasonable assumptions, use available tools, solve problems, move work forward, and bring back recommendations when executive input is truly required.

The right person will progressively reduce the amount of executive attention required to operate the business.

What Success Looks Like

When something is assigned to you, you own it until there is a result.

If two packages need to be mailed today, success means they were mailed and the loop was closed.

If an office issue needs to be solved, success is not simply identifying the issue or ordering something. Success means the solution is actually working.

If the company needs a new process, you are expected to help figure out how that process should work—not wait for the President to design every step.

We expect questions. We do not expect you to know everything.

But your default response to uncertainty should be:

“I’ll work through this, come back with a recommendation, and let you know what I actually need from you.”

rather than:

“Tell me exactly what you want me to do.”

Responsibilities

You will work directly with the President across executive priorities, projects, employees, customers, vendors, technology, and day-to-day business operations.

  • Take loosely defined executive requests and turn them into completed outcomes.
  • Maintain a reliable system for tracking commitments, delegated work, deadlines, follow-ups, and unresolved issues.
  • Follow up with employees, vendors, customers, and other stakeholders without requiring the President to chase them.
  • Identify stalled work and proactively move it forward.
  • Draft emails, correspondence, internal communications, procedures, summaries, and follow-ups.
  • Research issues and present recommendations instead of simply presenting questions.
  • Help implement operating systems, procedures, and workflows.
  • Coordinate meetings, calls, documents, appointments, purchases, mailings, travel, and executive logistics.
  • Track decisions and make sure conversations become actions.
  • Recognize small problems before they become executive problems.
  • Make reasonable routine decisions within established authority.
  • Know when executive involvement is genuinely necessary.
  • Assist with special projects that may cross multiple departments.
  • Help organize information so the President can make decisions quickly.
  • Use technology and AI tools to improve speed, organization, communication, and execution.

Some assignments will be strategic.

Others may be very simple.

The size of the task does not change the expectation of ownership and follow-through.

AI & Technology Are Part of the Job

LB actively uses AI and technology to research problems, draft communications, document processes, analyze information, organize projects, and improve operating systems.

You do not need to be an AI expert before joining us.

You do need to be comfortable using AI as part of your everyday work.
