Position

Project Coordinator (Full‑time) – Madison, Wisconsin (Hybrid; one day in‑office). We also accept applicants in Lexington, South Carolina;
Charlotte, North Carolina;
Strasburg, Pennsylvania.

Compensation

Salary: $30–$40 per hour (based on experience).

Who You Are

We’re looking for an experienced Project Coordinator or project controls professional, preferably with a consulting background, minimum 8 years of experience and a bachelor’s degree in Project Management, Marketing, Business Administration, Communications, Finance, or a related discipline. Equivalent experience with expertise in scheduling, cost control, and project planning is also acceptable.

Ideal candidates have a project controls mindset, go beyond task execution, understand strong project delivery, take ownership of performance, and act as a trusted partner to Project Managers.

Key Skills & Experience
  • Experienced in managing multiple priorities, maintaining quality, accuracy, and confidentiality.
  • Advanced proficiency in Microsoft Office, MS Project/P6, and other project management tools.
  • Strong knowledge of project planning and controls, including schedule development, scope, schedule, and budget coordination.
  • Experience with budgeting, forecasting, planned‑vs‑actual performance; EVM familiarity is an asset.
  • Process improvement, consistency in project coordination practices, tool adoption across teams.
  • Experience mentoring or guiding others in project coordination or controls practices.
  • Knowledge of SharePoint and Deltek Vantagepoint (preferred).
  • Document control processes (version tracking, naming conventions, file management).
  • Project financial management: budgeting, cost tracking, forecasting, invoicing, reporting.
  • Technical documentation formatting, review, and coordination.
Interpersonal & Organizational Skills
  • Strong communication, attention to detail, commitment to quality.
  • Problem‑solving, sound judgment, proactive issue resolution.
  • Ability to manage competing priorities, adapt to changing needs, coordinate across teams.
  • Collaborative, professional, builds relationships, establishes credibility across leadership.
  • Influence outcomes, maintain accountability, own workload, identify gaps, drive project deliverable coordination.
Additional Requirements
  • Must possess permanent authorization to work in the United States and be able to acquire authorization to work in Canada; sponsorship not available.
  • Must be willing to travel and have a valid driver’s license.
Responsibilities
  • Coordinate project planning activities: schedule development & maintenance, deliverable tracking, project status reporting.
  • Support project logistics: meetings, travel, subconsultant coordination, invoicing.
  • Prepare and format project deliverables per client and company standards.
  • Contribute to proposal development and project setup.
  • Support project controls activities: budgeting, forecasting, integrated schedule maintenance.
  • Proactively coordinate deliverables, anticipate project needs, manage priorities, and communicate effectively across teams.
  • Operate independently, own day‑to‑day coordination, drive accountability and process improvements.
