College Enrollment Coach

This position is responsible for building relationships with AVID/TOPS high school seniors who are planning their transition to college while connecting them to the resources needed to ensure their enrollment in a post-secondary degree program. Working collaboratively with 12th grade AVID elective teachers, high school guidance counselors, and student services staff on college campuses is key in this role. A successful candidate must be able to build relationships and rapport with students and be familiar with key milestones in the college access/enrollment process.

Success in this position will rely on building strong, collaborative relationships with staff across multiple sites, as a team-based approach is critical to our programming. The College Enrollment Coach is also expected to be flexible and adaptable, taking on other duties assigned to support the overall objectives of the organization.

Essential Duties and Responsibilities:

  • Provide coaching, mentoring, and support to assist AVID/TOPS high school seniors with the transition from high school to college via frequent meetings and senior class visits
  • Evaluate student needs and roadblocks for enrollment and provide necessary connections and solutions to support on-time enrollment
  • Facilitate relationship development between seniors and College Success Team during senior year to ensure smooth handoff process from high school to college
  • Track, document, and report student data regarding senior year, FAFSA completion, and college applications
  • Maintain accurate and timely case notes about student progress
  • Coordinate knowledge of AVID teachers, guidance counselors, and TOPS Coordinators at each Madison high school to link students to information needed for college applications, financial aid, scholarships, housing, admissions, and other related topics
  • Connect students to admissions, academic, and financial aid advisors and other support staff on their projected campus of enrollment
  • Link AVID/TOPS high school students to bridge or summer programs based on areas of interest, including Student Support Services, TRiO, and related programs and their respective campuses
  • Plan and implement social events and family engagement opportunities to connect students & families to club resources and staff
  • Collaborate with College Success team to plan and implement signature program events including Summer Transition Conference, Winter Reunion, and College Decision Day

Responsible for awareness of program budgets & planning within budgetary guidelines. Responsible for fiscal stewardship of organizational and grant-provided funds and assist in accurate tracking of financial transactions.

Internal:
As an integral part of our team, you will maintain close, daily contact with Club staff (both professional and volunteer), Club members, and your supervisor. This continuous communication ensures the seamless exchange of information, facilitates discussions on pertinent issues, clarifies guidelines and instructions, provides instruction and guidance, and offers counseling when necessary.

External:
Externally, you will maintain contact as needed with various community groups, schools, members' parents, and other stakeholders to foster collaborative relationships and assist in resolving any arising issues. By actively engaging with these external partners, you contribute to creating a supportive network and ensuring the well-being of our members within the broader community.

Physical abilities required include bending at the waist and reaching above the shoulder to maintain files, speaking and hearing to exchange information, and dexterity of hands and fingers to operate a computer keyboard and other office equipment.

The employee must be able to sit for extended periods. The employee will have periods of standing, walking, climbing, balancing, stooping, jumping, kneeling, crouching, or crawling. The employee may occasionally lift or move up to 20 pounds.
