Position Summary
This role owns the day-to-day accounting and finance operations of Musicnotes and will report directly to the CFO. The role includes managing financial tasks and ensuring the accuracy and integrity of financial information and requires knowledge of accounting principles, excellent analytical skills, and great communication with team members and stakeholders, as well as a strong “can-do” approach. The ideal candidate should have a proven track record of accuracy and attention to detail.
Transactions & Cash Management
- Participate in the day-to-day operations of accounting functions, including accounts payable, accounts receivable, general ledger entries, and month-end close processes for Musicnotes and relevant affiliates.
- Enter Accounts Payable invoices in Quick Books and manage approvals from department heads
- Enter Royalty invoices in Quick Books from quarterly royalty reports
- Input credit card details into Quick Books, ensure Credit Card receipts are collected, and expenses are valid and properly recorded
- Generate payments for royalties and accounts payable and collect tax forms (e.g. W-9s) when required.
- Ensure compliance with relevant accounting standards, regulations, and company policies.
- Analyze financial data and provide insights to management for decision-making purposes.
- Manage and reconcile bank accounts, including monitoring cash flow.
- Assist with year-end close while working closely with CFO.
- Ensure that periodic credit card reconciliations are completed.
- Maintain an orderly accounting filing system.
- Identify opportunities for process improvements and implement best practices to enhance efficiency and accuracy.
- Maintain confidentiality of financial information and exercise discretion in handling sensitive data.
- Assist with special projects and initiatives as assigned by CFO.
Reporting
- Help issue timely and complete financial statements.
- Prepare, request and gather monthly expense reports from management
- Calculate variances from the budget and report significant issues to management.
- Provide financial analyses as needed, in particular for capital investments, pricing decisions, and contract negotiations.
Compliance
· Assemble and compile information for the annual CPA audits
- Comply with local, state, and federal government reporting requirements and tax filings including:
- Filing Sales and Use tax monthly.
- Preparing Personal Property taxes annually.
- Filing 1099’s for royalty recipients and vendors
- Filing Form 1042-S for royalties paid on US sales to foreign entities including withholding tax if required.
Office Maintenance
- Building Owner Interface - Serve as the primary contact for our building owner regarding maintenance requests;
- Administrative Tasks and Special Projects such as –
- Lead mailing activities – both incoming shipping and receipt of packages
- Maintaining and ordering office supplies
- Ordering flowers, gift cards and greeting cards for Musicnotes employees as needed
- Coordinate on supplies needed for trade shows and manage swag inventory in Madison office
- Assist with planning and coordinating Musicnotes team social events and lunches
Education/Experience Requirements:
- Bachelor’s Degree in Accounting or Business Administration OR Equivalent Experience.
