Position Overview:

Green Lake Conference Center (GLCC) is seeking a dedicated Guest Services Overnight team member to provide exceptional overnight guest service, maintain smooth front desk operations, and support administrative tasks. This role is vital in ensuring a welcoming and professional check-in and check-out experience while upholding the security and integrity of guest services throughout the night.

Key Responsibilities:

Guest Services & Check-In/Out:
Provide warm, professional, and accurate and efficient service to guests and group leaders during check-in and check-out.

Reservation Management:
Utilize the property management system (PMS) to create, modify, and verify reservations, ensuring accuracy with contracts.

Financial Transactions:
Accurately process guest payments, balance the cash drawer at each shift's start and end, and promptly report any discrepancies. Adhere to established cash handling procedures to ensure accountability and minimize errors.

Team Collaboration & Communication:
Maintain clear and consistent communication with team members across shifts, ensuring a seamless transition by sharing guest needs, department updates, and important events.

Guest & Conference Support:
Anticipate and address guest needs, proactively resolve concerns, and provide seamless support for conference center operations to enhance the overall guest experience.

Preparation & Organization:
Prepare room keys, meal tickets, and other essential materials in advance to ensure a smooth and welcoming experience for guests.

Facility Upkeep:
Maintain cleanliness in the guest services area, lobby, public restrooms, and employee break areas.

Equipment Maintenance Reporting:
Identify and report any maintenance needs for equipment to ensure reliable operation and to minimize downtime.

Work Area Organization:
Maintain a clean, organized, and well-stocked front desk area to support efficiency, professionalism, and seamless guest service. Ensure that all necessary supplies, documents, and equipment are readily available for team members across shifts.

Safety Compliance:
Follow all safety and security protocols to ensure a safe environment for guests and staff. Adhere to procedures for handling confidential information, operating office equipment, and responding to emergencies or unusual situations during overnight hours.

Other Duties:
Perform additional tasks as assigned to support the overall operations of the Guest Services department.

Qualifications & Skills:

Must be at least age 18

Ability to sit or stand and work on a computer for extended periods.

Strong customer service orientation with a friendly and professional demeanor.

Strong attention to detail, ability to work efficiently, and a willingness to learn.

High level of integrity, confidentiality, and professionalism.

Ability to prioritize tasks and manage multiple responsibilities.

Positive attitude and ability to work independently or as part of a team.

Proficiency (or willingness to learn) in Microsoft Excel, Word, Outlook, and the property management system.

Schedule & Commitment:

Part-time position, with flexible scheduling based on organizational needs.

Typical work hours are overnight between 11:00 PM – 7:00 AM, Sunday–Saturday, schedule to be determined based on availability and organizational need.
