The IT Technical Documentation Specialist is responsible for creating, editing, and managing clear and user-focused technical documentation that supports enterprise IT operations and information technology service management (ITSM) in a federally regulated context. This role involves collaboration with engineers, analysts, and service owners to simplify complex technical and security-related concepts into understandable content.
The specialist oversees the entire documentation lifecycle, starting from information gathering and drafts to structured reviews, version control, publication, and ongoing maintenance. All documentation must comply with organizational standards, governance policies, and best practices in usability, ensuring that users—both technical and non-technical—can effectively interact with Federal Client systems and services.
Key ResponsibilitiesTransform complex technical and security-related information from subject matter experts into concise user guides, standard operating procedures (SOPs), workflows, and reference materials for diverse audiences.
Conduct interviews with engineers, analysts, and ITSM leaders; review specifications; and observe system workflows to gather, analyze, and validate information for accuracy and completeness.
Utilize structured writing principles, standardized templates, and style guides to develop cohesive, searchable, and reusable content across various documentation formats.
Employ documentation and publishing tools to create and maintain content in formats such as web-based help, printable documentation, and training materials.
Incorporate plain language principles, accessibility guidelines, and federal documentation standards to enhance clarity, readability, and compliance.
Manage review cycles, track stakeholder feedback, and uphold version control to ensure all documentation has an auditable and governed change history.
Collaborate with agile and Dev Ops teams to iteratively update documentation, aligning with frequent system releases and configuration changes.
Address the documentation needs for critical enterprise IT services—including cloud platforms and cybersecurity capabilities—vital to the operations of Federal Client.
Work closely with the ITIL Specialist and Service Management Lead to ensure documentation aligns with ITIL-based practices and process governance.
A Bachelor's degree in English, Technical Writing, Communications, IT, or a related field, or equivalent relevant work experience.
0-3 years of experience in technical writing, documentation, or a related communication role.
Proven ability to comprehend and communicate intricate technical information clearly and concisely across varied audiences.
Familiarity with documentation tools, including word processing and help-authoring software.
Exceptional writing, editing, and proofreading skills with strong attention to detail and organization.
Ability to work independently and collaboratively within cross-functional teams in a dynamic IT environment.
Active or obtainable SECRET clearance and U.S. citizenship, with minimal travel required.
Experience in agile or Dev Ops settings and updating documentation aligned with iterative release processes.
Experience documenting enterprise IT services like cloud, cybersecurity, IT operations, or ITSM processes.
Knowledge of federal documentation standards, style guides, and regulatory requirements.
Understanding of information design concepts and reusable content models.
Familiarity with ITSM ideas and the ability to collaborate effectively with ITIL practitioners.
Experience with AI-assisted writing and content generation tools, in compliance with federal policies related to security and data protection.
Understanding of how AI tools can integrate into knowledge management systems while adhering to federal requirements for metadata and auditability.
Compensation for this position varies based on multiple factors, including location, skill set, education level, certifications, and years of experience.
