Full-Time | On-Site | Non Supervisory
Position SummaryThe Human Resources Coordinator provides on-site HR support for a 100-bed long-term care and rehabilitation facility. This role handles day-to-day HR operations, supports employees and supervisors, ensures compliance with regulatory requirements, and partners with Corporate HR and facility leadership. The position requires high attention to detail, strong confidentiality, and excellent follow-through.
Key Responsibilities Recruitment & Hiring- Post job openings and manage applicant flow through the ATS.
- Coordinate interviews, screenings, reference checks, and job offers.
- Facilitate pre-employment requirements (background checks, TB/physicals, I9, orientation).
- Maintain accurate documentation for all hiring activities.
- Prepare new hire packets and ensure complete and compliant documentation.
- Conduct or assist with new hire orientation.
- Track training and competency completion.
- Serve as the main on-site HR contact for employees and supervisors.
- Support questions regarding policy, attendance, pay, benefits, and scheduling processes.
- Maintain confidentiality and reinforce appropriate complaint/reporting procedures.
- Assist with investigations as assigned by Administrator or Corporate HR.
- Document HR incidents and maintain employee files in survey-ready condition.
- Review Smart Linx punches daily and assist with corrections.
- Track call-ins, call-outs, and attendance patterns.
- Support wage and hour compliance such as meal/rest breaks and rounding rules.
- Assist supervisors with staffing documentation and follow-up.
- Track employee licensure/certifications (RN, LPN, CNA, etc.).
- Maintain labor law postings, OSHA logs, and personnel file compliance.
- Assist with FMLA paperwork and intermittent tracking.
- Prepare documentation for audits, surveys, and inspections.
- Support staff appreciation activities and employee recognition.
- Conduct new hire check‑ins and retention follow-up tasks.
- Help maintain a positive, respectful, team‑oriented work environment.
- Maintain HR records, logs, and reports.
- Process terminations and organize separation documentation.
- Coordinate WC reporting and follow-up.
- Provide facility leadership with staffing or turnover data as needed.
- 1–2 years HR or administrative experience (healthcare preferred).
- Familiarity with employment laws (EEOC, FMLA, wage & hour).
- Experience with Smart Linx or similar systems preferred.
- Strong communication, discretion, and organization skills.
- Ability to work independently while partnering with leadership.
