Office Administrator/ Coordinator, Clerical, Office Assistant
We are seeking a friendly, organized receptionist to be the first point of contact, ensuring a warm, professional, and welcoming atmosphere for all customers and visitors. This position will provide clerical support and administrative assistance to management and other department employees.
Responsibilities- Carry out recurring office duties/assignments independently based on proper procedure/format best suited for the department.
- Type letters, reports, forms, manuals, enter spreadsheet data, perform scanning, basic research, compile, copy and distribute documents as assigned, and filing.
- Coordinate/organize meetings and/or travel arrangements.
- Handle routine and non-routine requests from the department, customers, suppliers and other business contacts.
- Gather, validate and report data and statistical information.
- May be assigned to assist with clerical functions within department (i.e., A/P, A/R, etc.).
- Answer phones, greet visitors and process incoming/outgoing mail dependent on department setting.
- Requisition of supplies, printing, maintenance and other services dependent on department setting.
- Always work safely and take action to prevent any and all unsafe actions, processes, and behaviors.
- Perform other duties as assigned.
- Over 3 months up to and including 6 months from post high school, work, military, institutional or vocational environment.
- Proficient computer, grammatical and clerical skills including knowledge of office equipment and MS Office applications.
- Basic knowledge and understanding of policies and practices to exercise sound discretionary judgment.
- Ability to work with minimal supervision, excellent communication skills and ability to maintain confidentiality.
- Must possess a valid driver's license and maintain an acceptable driving record.
- Proficient computer skills.
- Ability to work with minimal supervision to complete tasks or projects.
- Ability to prioritize work assignments to meet deadlines.
- Ability to exercise sound discretionary judgment in handling of non-routine, confidential or emergency situations.
- Proficient in both English and Spanish.
- One year related work experience.
