The Accounts Payable Specialist is a full-time, on-site role based in Rockport, ME. This position is responsible for processing vendor invoices, expense reports, and payment runs in an accurate and timely manner. Daily responsibilities include verifying invoice coding, matching invoices to purchase orders, obtaining required approvals, and entering transactions into the accounting system. The role also involves reconciling vendor statements, researching and resolving discrepancies, and preparing journal entries related to accounts payable.
The Accounts Payable Specialist will collaborate closely with property management, accounting, and operations teams to ensure proper documentation, compliance with company policies, and strong internal controls. This role may also assist with month-end and year-end close activities and support audits as needed.
- Strong accounting and finance skills, including familiarity with accounts payable processes, general ledger concepts, and basic financial reporting.
- Experience with expense reports and related workflows, ensuring proper documentation, coding, and policy compliance.
- Ability to prepare and review journal entries with accuracy and attention to detail.
- Well-developed analytical skills to reconcile accounts, investigate variances, and resolve invoice or payment issues.
- Proficiency with accounting software and MS Office (especially Excel); experience in property management or real estate accounting is a plus.
- Strong organizational and time-management abilities, with capacity to handle multiple deadlines in a fast-paced environment.
- Effective written and verbal communication skills and a collaborative approach to working with cross-functional teams and external vendors.
- High school diploma or equivalent required; an associate’s or bachelor’s degree in Accounting, Finance, or a related field, or equivalent relevant experience, is preferred.
