RSU 40 Midcoast Maine
RSU 40 is seeking a detail-oriented and collaborative Maine Care Billing Coordinator to support and expand our school-based billing systems across the district. This position plays a critical role in ensuring that eligible services provided to students are accurately documented, compliant, and successfully billed.
This role works closely with special education leadership, related service providers, and program staff across our continuum of services, including LEAD, Bridge, Endeavor, Composite, and Resource Room programs.
What You'll Do- Oversee and support Maine Care billing processes across the district
- Ensure services billed are medically necessary, IEP-aligned, and compliant with Maine Care requirements
- Collaborate with related service providers (OT, SLP, social work, BHPs) to ensure accurate documentation and billing practices
- Monitor service documentation for compliance, accuracy, and timeliness
- Conduct internal audits, chart reviews, and utilization checks to maintain program integrity
- Support staff in understanding billable vs. non-billable services and documentation expectations
- Assist with coding, service authorization, and claims submission processes
- Ensure Maine Care eligibility is verified and requirements are followed prior to billing
- Support onboarding, tracking, and compliance for Behavioral Health Professionals (BHPs)
- Stay current on Maine Care regulations, including Section 65 and school-based billing guidance
- Experience with Maine Care/Medicaid billing in a school or healthcare setting (preferred)
- Knowledge of special education services and IEP processes
- Strong understanding of documentation, compliance, and audit requirements
- Ability to collaborate with multidisciplinary teams across schools
- Strong organizational skills and attention to detail
- Ability to train and support staff in billing practices
- Experience with data systems and billing platforms (preferred)
- Be part of a growing district initiative to expand and strengthen Maine Care billing
- Work closely with a collaborative special education leadership team
