GENERAL SUMMARY

Down East magazine is seeking a project coordinator. The successful candidate will fulfill an integral role at Down East helping to produce the magazine of Maine every month and its sister title Shooting Sportsman while also supporting our growing online retail business:

The project coordinator will work with the sales department in a customer service-type role to manage our marketing partners’ expectations and to fulfill contract obligations. Additional responsibilities will include support for the retail division of Down East. This will require working on the backend of Shopify, support for orders fulfillment and marketing.

This position requires working across all departments including design, editorial, digital, sales, retail, and accounting.

ESSENTIAL JOB FUNCTIONS
  • Ad trafficking for print advertising for both magazines. There are monthly deadlines for Down East magazine and every other month (6x per year) for Shooting Sportsman. Advertising materials must be ready to print on schedule, and online (digital ads) must be ready for their scheduled run times. Some advertising will come in prepared by the client’s designer and other clients will need design support, and in that scenario you will work with an in‑house designer to make sure the clients needs are met.

    On the digital side, ad trafficking can be weekly or even daily requiring the same sensitivity to deadlines and client expectations. Some marketing support will also be part of the position such as handling a monthly advertising newsletter. Organization and time‑management skills are essential for this position. This is approximately 70% of the job.
  • Support the retail sales department:
    Down East Shop. For example: entering new products into Shopify including SEO‑friendly descriptions and photos. Marketing support for the shop through our shop email newsletter. During the holiday season additional hands‑on support may be required. This is approximately 30% of the job.
OTHER DUTIES AND RESPONSIBILITIES
  • Serve as an ambassador for the Down East brand.
  • Occasionally represent Down East with businesses and at events.
  • Perform other related duties as required.
SKILLS / EXPERIENCE / TRAINING REQUIRED
  • Bachelor’s degree, or equivalent experience.
  • Excellent written and verbal communication skills.
  • Organizational skills, including ability to handle multiple tasks and prioritize time demands.
  • Working knowledge of modern office procedures, practices, and equipment, including the use of computers.
WORKING CONDITIONS / PHYSICAL DEMANDS
  • This position will require in‑office work time at a dedicated office for this position.
  • Occasional travel around the state of Maine.
  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • Regular use of computer keyboard, requiring eye‑hand coordination and finger dexterity.

COMPENSATION

Your compensation under this current position will be as follows:

  • Salary dependent on work experience.
