Senior Center/Council on Aging - Senior Center Clerk

SENIOR CENTER / COUNCIL ON AGING

Annual Salary Range: $59,815.74- $66,025.38 (FY24)

POSITION SUMMARY:

The City of Malden is seeking a Senior Center Clerk to perform clerical, programmatic, and fiscal support duties to assist in the effective operation of the Senior Center. The position supports the coordination and delivery of programs and services for older adults by assisting with program administration, financial recordkeeping, administration, and customer service. The Senior Center Clerk works under the Senior Center Coordinator and Director of Health and Human Services, and collaboratively with City departments, community organizations, vendors, volunteers, and the public to ensure efficient operations and responsive service delivery.

The position requires the ability to maintain accurate records, exercise sound judgment, maintain confidentiality, and communicate effectively with diverse populations, particularly older adults.

ESSENTIAL JOB FUNCTIONS and DUTIES:

  • Works with the Senior Center Coordinator and staff to create, develop and evaluate programming, ensuring offerings are responsive to participant needs.
  • Assists in planning and scheduling the programs that are part of the Senior Center, including social, recreational, educational, wellness, and nutritional activities.
  • Responds to inquiries in person and by telephone, assists with front office when needed and trouble shoots issues as needed.
  • Works with the Senior Center Coordinator and Department Director to identify funding needs (programs, staffing, equipment, transportation, meals, etc.).
  • Monitors expenditures and revenues throughout the fiscal year, assists with procurement processes for services and supplies, prepares and enters payroll and ensures vendors are paid properly.
  • Collects, records, and processes fees, payments, donations, and reimbursements in accordance with City policies.
  • Seeks out, applies for, reports out on and assists with managing grants to support senior services and resources in the Center.
  • Assists with the on-going communication to seniors through all channels available, including assisting with creating and distributing flyers and monthly newsletters to promote interest and inform of programs and activities.
  • Registers participants for programs, classes, events, trips, and services and communicates with City departments, vendors, volunteers, and community partners.
  • Maintains confidentiality and complies with applicable City policies.
  • Provides backup support to Senior Center staff.
  • Performs other related duties as assigned.

QUALIFICATIONS:

Education/Experience

  • High school diploma or equivalent required.
  • Prior clerical, administrative, or customer service experience preferred.
  • Experience working with older adults and/or in a municipal or community setting, coordinating programs or events, processing financial transactions, maintaining budgets or records, and assisting with grant administration is highly desirable.

Skills, Knowledge & Abilities

  • Modern office administration, business practices, and customer service principles.
  • Basic accounting, bookkeeping, budgeting, and financial recordkeeping practices.
  • Ability to communicate effectively with older adults, staff, and the public.
  • Ability to manage multiple tasks, maintain accuracy, and work in a fast-paced environment.
  • Ability to communicate effectively both verbally and in writing.
  • Microsoft Office Suite (Word, Excel, Outlook, Publisher or similar desktop publishing software) and standard office equipment.

Physical Requirements:

The employee may occasionally be required to lift or move light materials, supplies, files, or equipment. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the position.

Work is performed primarily in an office and public service environment at the Senior Center. The position involves frequent interaction with older adults, members of the public, City employees, volunteers, and community partners. The environment may be busy during programs, events, and peak service hours.
