Administrative Assistant to Student Services Department
District Office
Salary Range: $45,000 to $55,000
Position Summary Provide high-quality administrative and clerical support to the Student Services Department in the areas of special education, student records, purchasing, data reporting, technology systems, family communication, and department programs. The Student Services Administrative Assistant works collaboratively with administrators, staff, families, outside agencies, and other District departments to support accurate, timely, and efficient department operations.
- Review and process special education documents, including Individualized Education Programs (IEPs), Evaluation Reports/Reevaluation Reports (ER/RRs), and Notices of Recommended Educational Placement/Prior Written Notice (NOREPs).
- Assist with required state, federal, and District data collection and reporting, including Act 16, 4010/4011, RISC, and other assigned reports.
- Process requisitions, invoices, purchase orders, supply orders, and other departmental purchasing requests.
- Reconcile purchasing card (P-Card) statements and maintain required supporting documentation.
- Provide administrative and technical support to staff using Power School and other Student Services systems.
- Process confidential student referrals and records requests, including preparing redacted records for legal matters.
- Prepare and distribute communications to parents and guardians through District communication systems.
- Coordinate the administrative and logistical components of special education-related meetings/workshops, including scheduling, registration, communication, and recordkeeping.
- Maintain accurate and organized records and ensure assigned tasks and documentation are completed on time.
- Communicate professionally and effectively with administrators, staff, families, outside agencies, vendors, and community partners.
- Maintain confidentiality of student, family, personnel, legal, and other sensitive information.
- Collaborate with other Student Services administrative support staff to ensure continuity of department operations and provide coverage as needed.
- Perform other duties as assigned in support of the Student Services Department and District operations.
Qualifications
- High school diploma required; associate degree preferred, or an equivalent combination of education and experience.
- Previous administrative support experience required; experience in a school district or public-sector environment preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint. Experience with student information systems, payroll and financial management software, and communication platforms is preferred.
- Excellent written and verbal communication skills.
- Strong organizational, time-management, customer service, and problem-solving abilities.
Demonstrated ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment.
