Client Service Associate / Client Service Manager – On-site position at our Malvern, PA office. Base salary range: $60,000 to $90,000. Total compensation aligns to performance metrics and company goals.
Responsibilities- Reception and Office Support
- Greet clients and ensure the office maintains a clean and professional environment.
- Schedule meetings with prospects and clients.
- Manage and distribute mail, including coordinating overnight deliveries.
- Order office marketing materials and printer supplies.
- New Client Onboarding
- Ensure completion and accuracy of prospect and new client paperwork and account setup.
- Follow up on funds transfers and maintain CRM databases and client files within Salesforce.
- Handle filing, copying, and data input; record incoming assets to the appropriate blotting tool.
- Research and resolve issues in coordination with custodians (currently Schwab and Fidelity), WEG Operations, and vendors.
- Client Relationship Management
- Communicate with clients to understand personal history and current financial needs.
- Prepare account transactions, including trades, deposits, withdrawals, and required minimum distributions.
- Resolve client requests and elevate to advisors as appropriate, including processing death claims.
- Liaise with clients’ tax or legal counsel on relevant matters.
- Client Review Preparation and Follow Up
- Gather client data and prepare materials for meetings and reviews.
- Conduct tax-related research as needed.
- Complete all follow-up items related to client reviews.
- Industry, Product, and Company Knowledge
- Demonstrate knowledge of and accurately execute WEG’s Suitability Guidelines, operational processes, and sales model.
- Familiarity with financial products including annuities, mutual funds, separately managed accounts, fixed income, stocks, options, and charitable giving is preferred but not required.
- Attend internal and external educational events and vendor presentations.
- Team and Corporate Support
- Support Advisor Team Operations with process improvements.
- Complete operational projects and communicate process updates to team members.
- Mentor and train Client Service Associates.
- Participate in company sessions and communities.
- Manage vendors to established service level agreements.
- Bachelor’s degree (or equivalent experience) in business, finance, economics, or a related field.
- Customer service training, knowledge, or experience.
- Progressive industry experience appropriate to the role; leadership and tenure at WEG preferred for manager-level candidates.
- Ability and interest in learning financial concepts, products, features, and riders.
- Willingness to learn and apply WEG’s sales model, processes, and procedures.
- Strong attention to detail with accurate data entry in Salesforce.
- Ability to meet deadlines, remain flexible under pressure, and prioritize work effectively.
- Strong problem-solving skills and collaborative mindset.
- Superior verbal and written communication skills.
- Ability to build and maintain effective relationships with internal and external clients.
- Ability to train and mentor others as needed.
- Proficiency with Microsoft Office Suite and Salesforce.
- Familiarity with Support Org functionality preferred.
- Experience with Workday preferred.
- Licensing requirements are dependent on office structure and role scope.
