CommonPremises Associate Role
The Common Premises Associate supports the management of the UN House in Bahrain. The role focuses on budgeting, financial management, security coordination, office space allocation, maintenance, cleaning, utilities, and day‑to‑day management of services to ensure efficient and responsive support for resident agencies.
Duties and Responsibilities- Effective and efficient support to the management of UN premises and services
- Support as the UN House Custodian on behalf of the UN Development System, establishing and enforcing governance frameworks, SOPs, cost‑recovery mechanisms, and joint accountability arrangements.
- Ensure full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies.
- Implement the Memorandum of Understanding on Occupancy and Use of Common Premises and Services.
- Develop systems and internal operating procedures for premises and services management, preventive maintenance, site development, outsourcing and contracting, and cost‑saving strategies.
- Prepare result‑oriented work plans, strategies, actions and budget estimates in consultation with UNDP Resident Representative and the OMT.
- Document and follow up on contributions from participating agencies and report progress to the OMT.
- Clear and review renovation and refurbishment proposals of participating agencies for OMT action.
- Network with regional common premises management and services experts on technical and country issues.
- Provision of administrative support services
- Support day‑to‑day management of UN House premises and services for a functional, safe and hygienic work environment.
- Oversee cleaning, electrical, mechanical, telephone, heating, utilities, equipment, garbage disposal, power generation, and grounds maintenance services.
- Ensure procurement, maintenance and repair of building facilities, equipment and supplies aligns with budget and procurement policies.
- Identify opportunities for innovation and recommend improvements.
- Act as the focal person for filing and archiving of all common premises and services related documents.
- Maintain contact lists of the Ministry of Foreign Affairs and external vendors.
- Prepare correspondence and evaluation reports on common services tasks.
- Serve as focal point with the Ministry of Foreign Affairs and Ministry of Works for capital renovation and refurbishment works.
- Act as UNDP and UNCT focal point for the government‑contracted UN House maintenance company.
- Supply/inventory and asset management
- Act as property custodian of procured and donated common assets and prepare periodic inventory reports.
- Recommend replacement/disposal of common equipment and supplies.
- Conduct acquisition and distribution of quality common services supplies.
