Role PurposeThe Associate will provide operational, coordination, reporting, communication, and administrative support to the COO Office during the integration process. The role will focus on maintaining project trackers, following up on actions, coordinating stakeholders, preparing status updates, supporting governance forums, and ensuring integration-related documentation and communications are managed effectively.
Key ResponsibilitiesIntegration Coordination
- Maintain and update integration project trackers, workstream plans, action logs, and status reports
- Monitor progress across multiple work streams and follow up with stakeholders on outstanding actions and deliverables
- Track key milestones, dependencies, risks, and issues, and escalate delays or blockers to the COO Office as appropriate
- Ensure action items from meetings are documented, assigned, followed up, and tracked to closure
- Support preparation of integration governance materials, milestone updates, and leadership reporting packs
- Prepare weekly and monthly integration status reports covering progress, risks, dependencies, issues, decisions, and upcoming priorities
- Consolidate updates from workstream leads and country teams into clear management reports and executive-ready dashboards
- Develop PowerPoint presentations, briefing packs, dashboards, and summary reports for leadership meetings, steering committees, and governance forums
- Track and report on key milestones, deliverables, KPIs, and progress against agreed integration plans
- Prepare executive summaries, talking points, meeting notes, and briefing materials for senior leadership as required
- Draft and coordinate internal communications related to integration activities, project updates, milestones, and key announcements
- Ensure timely communication between project teams, functional leaders, country teams, and the COO Office
- Prepare and circulate meeting agendas, minutes, action points, and follow-up communications
- Support town halls, leadership updates, stakeholder engagement sessions, and other integration communication forums
- Coordinate meetings, workshops, working sessions, and follow-up calls related to integration activities
- Manage documentation, records, and filing for integration-related materials and governance documents
- Maintain organized project repositories on SharePoint or other approved platforms
- Assist with general administrative tasks supporting the COO Office and integration leadership team
- Bachelor’s degree in Business Administration, Management, Human Resources, Finance, Operations, or a related field
- 2–4 years of experience in project coordination, PMO support, operations, administration, or business support roles
- Experience working in a professional services environment is preferred
- Experience supporting transformation, integration, change, or cross-functional projects is advantageous
