The Office Administrator plays a vital role in supporting the day-to-day operations and overall efficiency of the organization. This is a hands-on position for a highly motivated, resourceful, and dependable professional who is comfortable taking initiative and working independently with minimal supervision.
The ideal candidate is a self-starter who recognizes what needs to be done, takes ownership of assigned responsibilities, and follows tasks through to completion. This position combines office administration, purchasing, travel coordination, vendor and client communication, local errands, research, and direct administrative support to company leadership.
Responsibilities may extend beyond traditional office administration and may include purchasing company merchandise and uniforms, coordinating travel arrangements, running business-related errands, conducting research, preparing time-sensitive documentation, and responding to unexpected operational needs.
Success in this position requires exceptional organization, discretion, follow-through, sound judgment, problem-solving skills, and the ability to quickly shift priorities in a fast-paced environment. The Office Administrator serves as a trusted "go-to" resource who can be relied upon to take a task from request through completion.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES- Process and prepare time-sensitive business, regulatory, government, permitting, registration, and reporting documents with minimal supervision.
- Provide administrative support to Operations and Human Resources, including maintaining equipment and personnel records, manifests, reports, and special projects.
- Manage office supplies and coordinate the purchasing, inventory, and distribution of company merchandise, uniforms, supplies, and other business-related items.
- Coordinate company travel arrangements, meetings, events, conferences, and other logistical requirements.
- Communicate professionally with clients, vendors, suppliers, government agencies, and other outside organizations to coordinate requests, obtain information, and resolve outstanding matters.
- Conduct regular local business errands, including purchasing and picking up supplies, merchandise, uniforms, documents, equipment, and other items as needed.
- Provide direct administrative and operational support to company owners and executive leadership, including scheduling, research, reports, presentations, errands, and special projects.
- Research products, services, vendors, regulations, and other business-related matters and provide information to leadership as requested.
- Track outstanding requests and follow up with appropriate individuals to ensure tasks are completed accurately and timely.
- Maintain organized records, files, documentation, and other administrative materials.
- Assist with special projects and other initiatives as assigned by leadership.
- Serve as a reliable point of contact and "go-to" resource for administrative and operational needs.
- Exercise sound judgment when handling sensitive, confidential, or time-sensitive information.
- Perform other duties and responsibilities as assigned to support the changing needs of the organization.
