The CSR is responsible for building rapport and trust with clients by delivering exceptional service consistently. Client Service Representatives are responsible for accurate and timely data entry of shipping and receiving information for single and/or multiple customers, and for order processing to support efficient site operations. Associates are expected to meet company objectives in performance, safety, and quality and comply with all corporate and site‑specific policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Customer Service
- Process and input all customer orders.
- Run and print shipments from WMS.
- Run stock reports to check product availability.
- Generate all related paperwork and necessary information for customer work orders.
- Check orders for special requests.
- Expedite orders as necessary, trace orders, and notify customers of any activity concerning merchandise.
- Follow up with other departments to ensure service standards are met.
- Assure proper invoicing by verifying customers as required.
- Handle returned merchandise efficiently and ensure proper credit is given.
- Customer Interfacing Activities
- Maintain good working relationships with customers by responding to inquiries and complaints concerning work orders, invoicing, shipments, and inventory management.
- Act as a liaison between the warehouse and customers for account administration and between the office and customers regarding invoicing and credit changes.
- Documentation
- Ensure accuracy of receiving and shipping documents.
- Gather and maintain all data and records related to shipping and receiving activities.
- Ensure receiving counts match packing lists and purchase orders and shipping count matches picking documents.
- Prepare reports concerning customer service as required by supervisors.
- Assist in resolving any discrepancies.
- Data Entry
- Operate computer terminal proficiently.
- Enter and verify data concerning customer orders, shipments, receipts, physical inventories, adjustments, etc., in an accurate and timely manner.
- Oversee all paperwork associated with orders and maintain corresponding files.
- Communication
- Answer incoming telephone calls cheerfully, courteously, and timely.
- Promptly route calls to the proper party and take messages when necessary.
- Assist callers with general information and inquiries.
- Assist drivers at check‑in windows various times throughout the day.
- Other Duties (Site Specific)
- Cross‑train in other administrative staff functions as needed.
- Work overtime as dictated by business, whether mandatory or voluntary.

MINIMUM REQUIRED QUALIFICATIONS- Education and/or Experience
- High school diploma or GED.
- 1 year of experience in a customer service–related capacity.
- Ability to work in unregulated temperatures within the warehouse during warmer and colder months ranging from mild to moderate.

- Skills, Knowledge and Abilities
- Computer skills – Proficient with MS Office applications; WMS functions.
- Language skills – Business writing proficiency.
- Mathematical skills – Intermediate level to verify quantities of product, count inventory, or perform other duties.
- Strong attention to detail and accuracy.
- Ability to perform duties with minimal supervision.
- Ability to multi‑task.
- Adaptability to change in a fast‑paced environment.
- 1‑3 years of warehouse/logistics support experience.
- 2‑3 years’ experience in a customer service–related capacity.
- Occasionally, Frequently, Constantly walking and standing.
- Ability to lift/carry and push/pull.
- Reach above shoulder, reach outward, squat or kneel.
