Position Description

Position Summary:

The Patient Hospitality Associate creates a welcoming experience for every patient who visits our dental office. This unique role combines hospitality, light administrative duties, and front desk support to ensure patients feel comfortable from the moment they arrive until they leave. We provide training on our software and operations. This is a part-time position for Saturdays only (schedule subject to change.)

General

Duties & Responsibilities:
  • Welcome patients with a warm, professional attitude.
  • Escort patients to respective rooms when appropriate.
  • Anticipate patient needs and proactively offer assistance.
  • Offer beverages and refreshments to patients and guests.
  • Prepare and maintain the beverage station and waiting area.
  • Ensure the reception area remains clean, organized, and inviting.
  • Wash and put away cups, dishes, and other kitchen items throughout the day.
  • Restock coffee, beverages, snacks, and office supplies as needed.
  • Assist with setting up and cleaning up for staff meetings or patient appreciation events.
  • Assist at the front desk during slower hospitality periods.
  • Answer incoming phone calls professionally.
  • Schedule and confirm patient appointments.
  • Make reminder and follow-up calls to patients.
  • Check patients in and out as needed.
  • Assist with general administrative and clerical tasks.
  • Learn and use the office's patient management software.
  • Enter and update patient information accurately.
  • Assist with appointment scheduling and patient records.
  • Support the clinical and administrative team with various office tasks.
  • Run errands within the office and support team members as needed.
  • Maintain confidentiality and comply with HIPAA privacy requirements.
  • Present a polished, professional appearance and maintain a positive attitude at all times.
  • Other relevant duties and responsibilities as assigned.
Qualifications & Skills:
  • Detail oriented
  • Excellent interpersonal communication skills
  • Experience working in dental office a plus
  • Willingness to learn and grow
  • Excellent organizational skills to effectively handle multiple tasks
  • Reliable and flexible
  • Self-motivated with the ability to exceed patient expectations
  • Excellent customer service skills
  • Excellent computer skills
  • Able to pass background checks
Education & Experience:
  • Bachelor's degree required;
    Bachelor's degree in Hospitality Management, Hotel Management, or a related field preferred.
  • Previous experience in hospitality, luxury hospitality, upscale restaurants, hotels, or a similar guest-facing service environment required.
  • Able to pass background checks
Physical Demands:
  • Ability to be physically mobile (stand, walk, reach, climb, bend) and also the ability to stand for prolonged periods throughout the day/work hours when needed
  • Manual dexterity sufficient to operate equipment,
  • Must be able to lift and/or move up to 20 pounds occasionally
