Office Administrator/ Coordinator
A well-established service company with approximately $8M in revenue is seeking an organized, detail-oriented Office Manager / Accounting Assistant to support daily office operations, customer scheduling, and light bookkeeping functions. This role is ideal for someone who enjoys a mix of customer interaction, scheduling coordination, and hands‑on administrative and accounting support.
Key Responsibilities Accounting & Administrative Support- Create and send customer invoices for service calls and completed work
- Assist with accounts payable and accounts receivable
- Perform basic account reconciliations (bank, credit card, customer accounts)
- Maintain accurate financial records and timely data entry
- Work with the company's CPA by providing documentation for tax and year‑end processes
- Manage the scheduling of all service‑related appointments with customers.
- Call existing customers to confirm services and provide appointment reminders
- Serve as the primary point of contact for customer inquiries related to scheduling, billing, and general service questions
- Maintain organized office operations and manage office supply inventory
- Prior experience in office management and accounting support
- Quick Books experience required
- Proficient with Microsoft Office and standard office systems
- Strong organizational skills and attention to detail
- Excellent communication skills
- Dependable, proactive, and customer‑focused
- Willing to pitch in wherever needed in a small business environment
