Job Summary
The MSCC Office Manager oversees the daily administrative operations of the MSCC office to ensure efficient and professional service to members, guests, and community partners. This position manages front desk operations, coordinates all MSCC facility rentals, answers and directs phone inquiries, and ensures smooth office workflow. The Office Manager also supports financial tracking related to rentals and general office administration while maintaining a welcoming and organized environment.

This position manages front desk operations, coordinates all MSCC facility rentals, answers and directs phone inquiries, and ensures smooth office workflow. The Office Manager also supports financial tracking related to rentals and general office administration while maintaining a welcoming and organized environment.

Responsibilities

  • Oversee daily office operations, ensuring efficient workflow and professional customer service.
  • Answer and direct incoming phone calls and emails, responding to inquiries from members, parents, and community partners.
  • Maintain office organization, supplies, and general administrative systems.
  • Manage incoming and outgoing mail and general office correspondence.
  • Ensure office policies and procedures are followed.
  • Manage all MSCC facility rentals from inquiry through completion.
  • Coordinate scheduling of rental spaces, ensuring availability and proper documentation.
  • Prepare rental agreements, invoices, and collect payments.
  • Maintain rental calendar and communicate schedules with staff and leadership.
  • Serve as the primary point of contact for rental clients before, during, and after events.
  • Ensure rental policies and procedures are followed by clients and staff.
  • Maintain accurate records of rental activity and prepare reports as needed.
  • Coordinate communication between departments regarding facility use and scheduling.
  • Serve as a positive and professional representative of the organization.
  • Perform other duties as assigned.

Job Qualifications, Knowledge, Skills, And Abilities

  • High school diploma or equivalent required;
    Associate2; or Bachelor1; s degree in Business Administration or related field preferred.
  • 21 years of experience in office administration, office management, or customer service.
  • Experience coordinating facility rentals, events, or scheduling systems preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with scheduling, CRM, or financial software preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills with a customer-service focus.
  • Ability to manage multiple priorities and maintain attention to detail.
  • Ability to remain calm and professional when handling customer concerns or high call volumes.
  • Ability to pass criminal background screening.
  • Valid driver0s license with personal auto insurance policy with a minimum of liability insurance.

PHYSICAL DEMANDS/WORK ENVIRONMENT

  • Actively supervise and participate in recreational, athletic, and educational activities, both indoors and outdoors.
  • Stand, walk, run, and engage in physical play for extended periods (8 hours).
  • Respond quickly and appropriately in emergencies, including the ability to move swiftly to ensure the safety of members.
  • Maintain energy and alertness throughout extended shifts, often in a loud or high-energy setting.
  • Work in various environments, including gymnasiums, playgrounds, classrooms, and outdoor fields.
  • Lift and carry supplies or equipment weighing up to 75 pounds.
  • Perform basic physical tasks such as bending, kneeling, reaching, and climbing stairs.
  • Using general office equipment, including phones, copiers, and computer equipment.
