About Elm Grove

A well-established Real Estate Development and Property Management firm is looking to hire a part-time Property Receptionist to join their team in Manchester, NH
. A good candidate will have maintenance experience and a great attitude. Must have good knowledge in apartment maintenance including but not limited to plumbing, electrical, drywall, painting and general carpentry. Appliance repair is a plus. Ability to diagnose issues and must have own tools, vehicle and state issued driver's license.

The Receptionist serves as the primary point of contact for residents, prospective tenants, vendors, and visitors at the residential apartment community. This position is responsible for maintaining a professional and welcoming front office environment, providing administrative support to the property management team, and ensuring a consistently high standard of service delivery. The incumbent must demonstrate strong organizational ability, sound judgment, and a commitment to resident satisfaction in a fast-paced, community-focused environment.

Job Functions

* Front Desk Operations & Resident Relations*

  • Staff and maintain the front desk during all designated business hours, ensuring a professional and organized point of reception at all times.
  • Receive and direct residents, prospective tenants, vendors, and guests; provide courteous assistance and route individuals to appropriate staff members or resources.
  • Answer all incoming telephone calls promptly and professionally; record and distribute messages accurately and in a timely manner.
  • Monitor shared inboxes and communication platforms; elevate urgent matters and respond to routine inquiries within established service standards.
  • Coordinate logistics and hospitality for property tours, partner visits, and prospective resident appointments.


* Property Management Support*

  • Receive, log, and process resident service and maintenance requests through App Folio or applicable property management software; communicate status updates to residents and relevant staff.
  • Assist in the preparation and processing of tenant move-in and move-out documentation, including welcome packets, key management, and walkthrough coordination.
  • Support rent collection processes including receipt of payments, issuance of confirmations, and directing residents to approved payment channels.
  • Distribute community notices, lease renewal documents, and resident correspondence on behalf of the property management team.
  • Maintain organized and accurate resident files, lease records, and all related correspondence in accordance with company policy and applicable regulations.
  • Assist with the administration of resident satisfaction surveys and coordinate follow-up communications as directed.


* Administrative & Office Operations*

  • Uphold professional standards of office cleanliness, presentation, and organization to ensure a positive experience for all visitors and staff.
  • Manage the procurement, inventory, and organization of office supplies.
  • Perform data entry, update contact records, and maintain accuracy within property management platforms, CRM systems, and shared databases.
  • Draft, proofread, and format internal memoranda, letters, and correspondence on behalf of the property management team.
