Position: Staffing Coordinator

Status: Full Time, Non-Exempt

We're looking for a detail-oriented, proactive Staffing Coordinator to manage nursing schedules and serve as the central point of contact for staffing operations. This role works closely with nursing staff, the DON, ADON, HR, and Payroll. If you thrive in a fast-paced environment and take pride in keeping things running smoothly behind the scenes, we want to hear from you.

What you'll do
  • Build and maintain nursing schedules to ensure coverage across all shifts, including PRN and float assignments
  • Track attendance, overtime, and vacancies — and elevate concerns as needed
  • Serve as the go-to contact for staff questions about schedules, time-off requests, and schedule changes
  • Communicate regularly with the COO, DON, ADON, and other department leadership on staffing and coverage updates
  • Coordinate new hire orientation schedules and ensure staff are scheduled for mandatory training
  • Monitor vacation requests and ensure documentation reaches Payroll
  • Notify HR promptly of extended leave requests per established leave policies
  • Track PRN compliance and flag staff not meeting scheduling requirements to leadership
  • Maintain accurate staffing records and generate reports on trends, overtime, and compliance
What we're looking for
  • High school diploma or GED required
  • At least 1 year of experience in staffing, scheduling, or administrative support in a healthcare setting
  • Intermediate to advanced proficiency in Microsoft Excel; minimum typing speed of 40 WPM
  • Strong organizational and time management skills — you can juggle multiple priorities without dropping the ball
  • Excellent communication skills with staff and leadership at all levels
  • Comfortable with change — we're growing and evolving, including upcoming technology upgrades
  • High level of discretion with sensitive and confidential information
  • Commitment to HIPAA compliance and a culture of patient confidentiality
Why this role stands out
  • Direct visibility with executive leadership from day one
  • A key role in supporting safe, high-quality patient care
  • A collaborative team environment that values clear communication and professionalism
