Role Description
The Office Specialist serves as a key administrative resource for the department, providing clerical, operational, and customer service support to faculty, staff, students, and visitors. The position coordinates travel arrangements, processes reimbursements, orders supplies, maintains records, tracks equipment inventories, and supports departmental procedures. This part‑time role requires regular hours coordinated with other departmental staff.
As a secondary point of contact the Office Specialist greets visitors, answers phones, and responds to inquiries, ensuring a professional and welcoming environment. The role also supports day‑to‑day office operations by maintaining organized records, monitoring supplies, and assisting with departmental needs.
Success in this role requires strong organizational, communication, and interpersonal skills, attention to detail and the ability to manage multiple priorities. A working knowledge of departmental, university, and state procedures, financial processes, and records management is essential.
Qualifications- One year of relevant work experience
- Knowledge of computers, office equipment, software, and operating systems
- Ability to use Microsoft Office/365 or Google Workspace
- Some post‑high school education
- Experience in an academic setting
Knowledge of university academic policies, procedures, and recordkeeping systems - Demonstrated ability to handle multiple projects at once
- Ability to organize and prioritize work
- Ability to establish and maintain effective working relationships with faculty, students, alumni, and other stakeholders
- Two years of relevant work experience
