- Research prospective grant opportunities and prepare concise summaries for Manager review.
- Maintain the master grants calendar, including Final date to receive applicationss, submission dates, award periods, reporting schedules, and renewal dates.
- Coordinate collection of data, attachments, letters, financial documents, and other materials from program and finance teams.
- Prepare and maintain standard organizational background materials, program descriptions, attachments, and proposal support documents.
- Prepare submission packages and perform administrative checks for completeness, formatting, required attachments, and deadlines.
- Maintain organized electronic files for proposals, awards, reports, correspondence, and funder documentation.
- Track awarded grants and post-award documentation; monitor reporting deadlines and alert the Manager and responsible staff in advance.
- Assist with expenditure logs, documentation, and information gathering while deferring financial approval and compliance decisions to appropriate leadership.
- Maintain accurate and timely donor, prospect, sponsorship, and grant records in the CRM and related tracking systems.
- Prepare donor acknowledgement letters, mailings, stewardship touchpoints, donor packets, impact materials, and thank-you communications.
- Create and distribute approved donor and event communications through the agency's CRM/email tools.
- Prepare routine donor and Foundation reports and assist with reconciliation of CRM information to financial records provided by Finance.
- Conduct basic donor, sponsor, or prospect research at the direction of the Marketing & Development Manager.
- Coordinate sponsorship fulfillment, pledged contribution follow-up, and delivery or collection of approved materials.
- Request approved donations or sponsor ships from community partners as assigned and maintain accurate follow-up records.
- Maintain the department's community event and outreach calendar and coordinate registrations, deadlines, and participation details.
- Coordinate event logistics including supplies, promotional items, displays, sign-ins, volunteers, staffing, reminders, setup plans, and follow-up.
- Track and document staff participation in community events, resource meetings, committees, and outreach activities.
- Serve as the primary administrative coordinator for recurring fundraising and community engagement events.
- Represent Pawnee at assigned community events and resource fairs and support attendee engagement.
- Maintain event inventories and coordinate requests for materials with the Marketing Design Specialist.
- Compile participation and follow-up information for Manager review.
- Serve as the initial administrative point of contact for EAP clients, assisting with inquiries, required paperwork, scheduling, and routine communication.
