Summary / Objective

The Staff Accountant is responsible for supporting the financial operations of the company through accurate and timely processing of payroll, accounts payable, accounts receivable, and general accounting tasks. This role ensures financial integrity, adherence to internal controls, and smooth day-to-day accounting operations. The Staff Accountant will work closely with the Controller, project managers, and department leaders to ensure accurate reporting and strong financial performance.

Functions

  • Payroll Processing
    • Process in-house payroll using the company’s accounting system, ensuring accuracy, compliance, and timely completion for all employees.
    • Maintain payroll records including employee changes, timekeeping, deductions, garnishments, PTO accruals, and benefit contributions.
    • Respond to payroll-related questions from employees and supervisors with professionalism and accuracy.
    • Ensure compliance with federal, state, and local payroll laws and reporting requirements.
  • Accounts Payable (AP)
    • Review, code, and enter vendor invoices, credit card transactions, and expense reports.
    • Prepare weekly or scheduled vendor payments - including checks, ACH, and other methods.
    • Maintain vendor records, W-9 documentation, and support annual 1099 compliance.
    • Reconcile vendor statements and resolve discrepancies in coordination with vendors and internal teams.
  • Accounts Receivable (AR)
    • Monitor aging reports, follow up on outstanding balances, and support collection efforts.
    • Process and record incoming payments, deposits, and retainage transactions.
    • Support billing teams as needed.
  • General Accounting & Administrative Duties
    • Assist with month-end and year-end closing activities, including reconciliations and journal entries.
    • Maintain organized financial documentation, digital file systems, and audit-ready records.
    • Support reporting functions, including job cost tracking, financial statements, and budget assistance as needed.
    • Collaborate with operations, HR, and project teams to ensure accurate financial information.
    • Assist with special projects or additional duties as assigned by leadership.
Competencies
  • Strong understanding of general accounting principles and payroll processing.
  • High attention to detail and accuracy in data entry and financial review.
  • Strong organizational and time-management skills with the ability to prioritize multiple deadlines.
  • Excellent communication skills, both written and verbal.
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Teams) and accounting software (Sage 300 or similar preferred).
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Problem-solving ability with a proactive and collaborative approach.
  • Dependable, professional, and able to work effectively both independently and as part of a team.
Work Environment

This position operates most of the time in a typical office environment, spending time at a desk, typing at a computer, talking with people in person and on the phone, taking notes, and using standard office equipment.

Physical Demands

Prolonged periods of sitting at a desk and working on a computer when in the office. Must be able to lift up to 25 pounds occasionally. Occasional travel between office, bank, or jobsite locations may be required.

Position Type/Expected Hours of Work

This is a full-time position, and business hours are Monday through Friday. Longer hours may be required during peak accounting cycles such as month-end, year-end, or payroll deadlines.
