As a key member of our Client Services Team in St. Paul, MN, the Client Services Associate provides essential support to both Advisors and clients. This role is instrumental in ensuring a seamless client experience through high‑quality service, strong communication, and reliable operational support. Clients may include individuals, households, and external advisors utilizing our Turnkey Asset Management Program (TAMP). The ideal candidate is detail‑oriented, proactive, and able to multitask in a fast‑paced environment while maintaining a positive, client‑centric approach.

Client

& Advisor Support
  • Serve as the first point of contact for clients and prospects with professionalism and warmth.
  • Act as a liaison between Advisors and clients; troubleshoot issues, organize schedules, and coordinate meetings.
  • Meet routine client needs promptly while demonstrating a strong understanding of Savant’s philosophies.
  • Manage inbound calls, greet office visitors, and support daily office activities.
Client Documentation & Information Management
  • Prepare, process, and follow up on all client paperwork, including account applications and transfer documents.
  • Maintain accurate and up‑to‑date client information in Salesforce; document all client interactions.
  • Prepare client reports, proofread documents, and assemble materials for client meetings.
  • Support the account‑opening process to ensure a seamless experience for prospects and clients.
  • Navigate various custodial relationships and simplify complex requirements for clients.
Office & Operational Support
  • Maintain office, lobby, and conference room cleanliness and readiness for visitors.
  • Assist with planning, RSVPs, and set‑up for events hosted in the area.
  • Prepare next‑day appointments, create master calendars, and run daily client meeting reports.
  • Receive and log mail, packages, and client deliveries; prepare outgoing mail and shipments.
  • Maintain call logs, prospect call records, and CRM task completion.
Team Collaboration
  • Serve as backup to other Client Services team members as needed.
  • Contribute to a collaborative team environment by assisting colleagues and filling in during peak times.
  • Support client and marketing events when requested.
Additional Responsibilities (As Needed)
  • Inventory, order, and process office supplies.
  • Execute office opening and closing procedures, including phone setup and document shredding.
  • Process sympathy touches upon obituary review.
  • Assemble and prepare materials for mailings.
  • Update corrected client information from landing pages into the CRM.
  • Complete miscellaneous tasks or projects to support the Client Services and Advisor teams.
Qualifications
  • Bachelor’s or Associate’s Degree from accredited college or university preferred.
  • Minimum 2+ years of proven success in a client services/administrative support function in the field of financial services, banking, or insurance.
  • Proficiency in Word, Excel, PowerPoint, Outlook, and CRM software.
  • Critical thinking, organized, detail-oriented, and able to multitask.
  • Client first attitude.
  • Effective written and verbal communication skills.
  • Position requires a high level of confidentiality.
  • Team player, collaborative, able to work with and through others.
