The Service Administrator will provide administrative support to the Service Department by updating service-related systems and contacting customers on a regular basis. This position is also responsible for the completion of all paperwork related to the Service Department.
Essential Functions- Maintain Service Planner with PMs campaigns, repairs from drive-ins, call-ins, and 24/7 calls, and off lease/on lease.
- Start R/O’s, schedule pick-ups and vendor outside work.
- Respond to customer inquiries regarding billing and scheduling.
- Greet customers at the location and assists customers via phone and e-mail.
- Assist with parts inventories and cycle counts, procurement, storage and billing.
- Assist with shop administrative processes and run reports as scheduled
- Complete repair orders and all paperwork involved in daily office procedures
- Ordering supplies, mailing, and scheduling
- Prepares, issues, and sends out receipts, bills, policies, invoices, warranties, statements, and checks
- Processes warranty claims from job completion to invoice, ensuring timeliness, proper documentation, and a high level of accuracy.
- Ensures all warranty procedures or guidelines provided by the manufacturer are followed.
- Researches and reviews all manufacturer product bulletins and recalls, taking appropriate action as needed to ensure compliance.
- Operates computer terminal to input and retrieve data
- Opens and routes incoming mail, answers correspondence, and prepares outgoing mail
- Regular, predictable, full attendance is an essential function of the job
- Maintains professionalism on the job at all times.
- Is reliable and punctual in reporting for work as scheduled.
- Performs other duties of a similar nature as required.
- High School Diploma or equivalent. Vocational or technical certification preferred.
Two or more years of technical experience in a parts and/or service technician role.
Additional Requirements- Proficiency in Microsoft Office Suite.
- Ability to work independently and to effectively prioritize demands and execute tasks.
- Keen attention to detail.
- Ability to interpret and communicate technical information.
- Strong written and verbal communication skills with the ability to convey information to internal and external customers in a clear and concise manner.
- Strong project management and organizational skills.
- All shifts Monday - Friday 7:30am - 4pm
