*** About the position:
** The Systems Assistant serves as the primary administrator for HR and clinical training systems, ensuring seamless onboarding experiences and ongoing compliance throughout the employee lifecycle. This role is critical to maintaining system integrity, monitoring credential compliance, supporting regulatory readiness, and assisting operational leadership with workforce system needs.

* Essential Job Functions:

**
* ** Onboarding & Employee Lifecycle (upon Paycom hire/PAF):
** Manage employee system setup and credential tracking, which includes updating Medbridge rosters and leave status, assigning subscriptions and roles, enrolling staff in required platforms, verifying certifications and licensure, and ensuring accurate licensure data and documentation across Paycom and HCHB systems.
* ** Medbridge Administration:
** Oversee Medbridge training administration, including managing user access and assignments for role-based learning, maintaining training resources, and ensuring compliance by monthly uploading legacy transcripts to Paycom.
* ** HR Sync Monitoring:
** Monitor HR Sync reports four times daily to confirm new hires and updates have processed correctly.
* ** Licensure and Credential Compliance****:
** Oversees nurse licensure tracking and compliance by monitoring Nursys daily and updating licensure data in Paycom and HCHB, generating and tracking monthly expiration/renewal reports, notifying leadership of upcoming expirations, uploading renewed licenses, verifying Nurse Aide certification, removing terminated nurses from Nursys, and validating licensure for employees returning from leave or transitioning into clinical roles.
* ** Clinical Rosters and System Maintenance****:
** Maintain accurate employee rosters across Medbridge, Medline, Nursys, SHP, and HCHB. Ensure employee status changes are reflected timely and accurately across all systems.
* ** Vendor and External System Administration:
** Manages user access and credentialing across key external systems by managing Strategic Healthcare Programs (SHP) access per value-based purchasing guidelines, setting up Medline credentials for nursing leadership, and administering vendor platform access (e.g., Stericycle/Shred-it and others) based on subscription codes — activating and deactivating access for hires, status changes, and terminations.
* ** HRIS System (Paycom):
** Responsible for managing employee access and onboarding support, including assigning and distributing self‑service credentials, handling password resets, creating and updating Paycom workflows and checklists, monitoring onboarding progress, and proactively following up to ensure completion of onboarding tasks.
