Office Coordinator

The Office Coordinator under general supervision performs a variety of difficult, responsible and specialized administrative and office support functions; creates and maintains specialized reports, records and files required in connection with department work processes.

Responsibilities include:

  • Ensuring security processes are followed with regard to the front desk (driver and visitor sign in).
  • Answering and routing all telephone calls in a polite manner, taking messages and routing to proper individuals in a timely manner.
  • Providing scheduling of all inbound and outbound freight in compliance with customer and operation departments.
  • Coordinating receiving and shipping documents verifying accuracy.
  • Gathering and maintaining all data and records relative to shipping and receiving activities.
  • Verifying accuracy on shipping orders and shipping quantities matching picking documents.
  • Assisting in resolving customer discrepancies.
  • Collecting all documentation for inbound freight and routing to the proper recording keeping unit.
  • Directing and overseeing the pallet control and exchange program.
  • Facility AR/AP and vendor invoices responsibilities.
  • Responsible for running specific customer reports and scanning invoices.
  • Providing assistance on special projects at the discretion of the Lead Customer Service Representative (CSR), CSR Supervisor or Office Manager.
  • May be involved in timekeeping and other payroll reporting.
  • Filing appropriate paperwork for the facility as required.
  • Other administrative tasks as directed by local management specific to the facility's needs.

Qualifications include:

  • High school diploma or equivalent
  • 2-5 years office experience
  • Proficient computer knowledge including all MS Office applications
  • Intermediate typing skills
  • 10-key by touch
  • Shipping software systems including UPS and Federal Express
  • Excellent oral and written communication skills
  • Excellent time management, multitask, reporting and customer service skills.
  • Ability and availability to work irregular or extended hours including nights, weekends and holidays as needed.
  • PART TIME

We are excited to share the base hourly rate for this position is $22.50 HOUR. NFI takes into consideration applicants' qualifications, experience, education, geographic location, when determining a starting rate of pay. This position may also be eligible for an additional $X/HOUR based on shift work.
