This role supports multiple departments with a range of administrative tasks, including front desk operations, visitor greeting, facility management, billing and corporate card transactions, office supplies, event planning, recruitment, and onboarding support. A successful candidate should have a minimum of 2 years of bookkeeping experience and be proficient with a variety of office software, technologies, and programs.

Responsibilities and Expectations
  • Greet and welcome visitors, ensuring a positive and professional impression.
  • Manage phone calls, emails, and correspondence.
  • Ensure the office is properly maintained, clean, and well-organized.
  • Maintain inventory of office supplies, place orders, and provide required paperwork to accounting.
  • Coordinate and oversee weekly, monthly, and annual office gatherings and events.
  • Plan in-house or off-site activities like parties and special events.
  • Oversee office equipment and coordinate maintenance and repairs.
  • Manage relationships and negotiations with office vendors, service providers, and facilities management.
  • Manage employee parking assignments, utilization, and tracking; assist employees with parking issues.
  • Provide administrative support to various departments as required.
  • Set up meetings and prepare/distribute relevant materials.
  • Move, assemble, and install office desks and whiteboards as needed.
  • Initiate and coordinate record retention and storage for relevant areas.
  • Provide Human Resources assistance as directed, including posting ads, tracking applicants, setting up interviews, onboarding materials, HR file maintenance, and background checks as necessary.
  • Facilitate employee years of service award program.
  • Manage special projects requested by management.
  • Manage office general and administrative budgets with accurate reporting.
  • General bookkeeping:
    Accounts Payable, ensuring invoices are recorded and paid on time; obtain W-9s where needed.
  • Obtain, organize, identify, and reconcile corporate credit card receipts monthly and provide to accounting promptly.
  • Track employee travel for liability insurance reporting.
  • Work with accounting to maintain expense controls.
  • 3+ years as an office administrator or similar role; 2+ years bookkeeping experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Attention to detail, problem-solving skills, and ability to handle confidential information.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent verbal and written communication skills; ability to work independently.
  • Professional and friendly demeanor; ability to lift up to 25 pounds.
