Detailed Overview

Supporting the Vision, Values, Purpose and Commitments of Fraser Health, the Administrative Support Clerk works as a member of the interdisciplinary team and provides administrative support by performing duties such as reception services, typing material using word processing software, setting up and maintaining filing systems, processing mail, faxes, reports, arranging meetings, operating office equipment, assisting with client intake, and maintaining staffing coverage.

The role deals with matters of a confidential nature for several disciplines.

Responsibilities
  • Provide reception services by operating a multi-line switchboard, answering and directing incoming calls, taking messages, answering routine inquiries, providing general information, receiving visitors, and determining when an issue requires escalation.
  • Assist with client intake by receiving referrals, scheduling appointments, obtaining client information, completing required documentation, maintaining waiting lists, and arranging transportation as needed. Refer potential crisis or emergent situations to clinical staff immediately.
  • Type material such as correspondence and reports using word-processing software, inputting client information, maintaining registers, transcribing handwritten or general instruction, and preparing informational packages.
  • Collect and enter data from various sources into computerized systems, ensuring data is kept up to date; compile and retrieve information as required and print related reports.
  • Set up and maintain the client and administrative filing system, create and label files, develop forms, index materials, and file per confidentiality policies.
  • Receive and log Freedom of Information Requests and Consent for Release of Information Requests; forward requests to appropriate staff and maintain related records.
  • Process incoming and outgoing mail, faxes, reports, records, and internal documents, receive, record, date‑stamp, sort, distribute, and prepare outgoing mail.
  • Arrange meetings and special functions, booking rooms, arranging catering, contacting personnel, sending invitations, typing and circulating notices, and recording and distributing minutes.
  • Maintain levels of stationery, office supplies, and equipment; place purchase orders, receive supplies, check invoices, store and distribute supplies, and contact suppliers for general information.
  • Operate office equipment such as photocopiers, shredders, and fax machine; perform minor maintenance, and refer further maintenance to Supervisor.
  • Assist with timekeeping functions by gathering hours worked, coding hours into the payroll system, forwarding to payroll after approval, reviewing verification reports, identifying discrepancies, and answering staff inquiries.
  • Perform general staffing functions such as calling in relief staff, assisting with staffing schedules, and booking casual staff.
  • Coordinate off‑site storage of records and archives by maintaining databases, completing paperwork, arranging for records to be shipped, and assisting with retrieval, filing, and purging.
