We are seeking an experienced, hands‑on Accounting Manager / Senior Accountant to oversee all accounting and financial operations for a $10 million construction company. This is a one‑person accounting department responsible for the full accounting cycle, financial reporting, payroll, union reporting, and compliance. The ideal candidate has strong construction accounting experience, is highly organized, and is comfortable working independently while partnering closely with company leadership.

The position will initially be based in their Philadelphia office for approximately 3-4 months before relocating permanently to their Maple Shade, New Jersey office.

Key Responsibilities
  • Manage all aspects of the accounting function from transaction processing through month-end and year-end close.
  • Prepare accurate monthly, quarterly, and annual financial statements.
  • Maintain the general ledger and chart of accounts.
  • Reconcile all bank accounts, credit cards, loans, and balance sheet accounts.
  • Manage accounts payable, accounts receivable, and cash flow.
  • Process customer billings, progress billings, retainage, and collections.
  • Monitor project costs and profitability by job.
  • Assist ownership with budgeting, forecasting, and financial analysis.
  • Maintain fixed asset records and depreciation schedules.
  • Coordinate annual financial reviews and tax preparation with outside CPA.
Construction Accounting
  • Maintain accurate job costing and project financial reporting.
  • Review subcontractor invoices and ensure compliance documentation is received before payment.
  • Track contract values, change orders, retainage, and work-in-progress schedules.
  • Support project managers with cost reporting and budget analysis.
  • Monitor committed costs versus actual expenditures.
Payroll & Union Reporting
  • Process weekly payroll for field and office employees.
  • Prepare and submit Certified Payroll Reports (Davis-Bacon prevailing wage projects).
  • Prepare and file all required union payroll reports, fringe benefit reports, and contributions accurately and on time.
  • Ensure compliance with union collective bargaining agreements and prevailing wage regulations.
  • Reconcile union benefit payments and payroll deductions.
  • Maintain payroll records and employee earnings histories.
Compliance & Tax Reporting
  • Prepare and file sales tax returns and other required state and local tax filings.
  • Assist with annual 1099 preparation.
  • Maintain contractor licenses, insurance certificates, and other compliance documentation.
  • Support audits related to payroll, workers' compensation, union benefits, and financial statements.
  • Ensure compliance with federal, state, and local regulations.
Banking & Cash Management
  • Monitor daily cash balances and cash flow.
  • Prepare deposits and electronic payments.
  • Manage banking relationships and online banking activity.
  • Coordinate wire transfers and ACH transactions.
  • Maintain accounting policies and internal controls.
  • Identify opportunities to improve accounting processes and efficiencies.
  • Serve as the primary accounting resource for ownership and project management.
  • Work independently while maintaining confidentiality and professionalism.
  • Assist with special projects and financial reporting requests as needed.
Qualifications
  • Bachelor's degree in Accounting, Finance, or related field preferred.
  • 5+ years of accounting experience, preferably in the construction industry.
  • Strong understanding of construction job costing and work-in-progress accounting.
  • Experience processing Certified Payroll Reports and union payroll reporting is required.
  • Knowledge of prevailing wage regulations and union benefit reporting.
