Our client, a well‑established financial services organization is seeking an experienced and highly organized Office Manager to oversee and support the day‑to‑day administrative operations of multiple affiliated companies under the same umbrella. Competitive base salary ranging from $100,000–$120,000.
Key Responsibilities- Oversee daily administrative operations among multiple companies
- Ensure consistency in office procedures, workflows, and operational standards
- Manage office supplies, vendor relationships, equipment maintenance, and facility needs
- Coordinate administrative support functions including scheduling, document management, and office communications
- Support leadership teams with operational and administrative initiatives
- Assist with budgeting, invoice processing, expense tracking, and vendor coordination
- Partner with HR and leadership on onboarding logistics, employee support, and office policies
- Coordinate meetings, events, travel arrangements, and internal communications
- Maintain organized records and ensure compliance with company procedures and industry standards
- Troubleshoot operational issues and implement process improvements to increase efficiency
- Act as a point of contact across offices to ensure strong communication and collaboration
- Support special projects and additional operational initiatives as needed
- 5+ years of Office Management or Operations experience
- Prior experience within financial services, wealth management, banking, insurance, accounting, legal, or another professional services environment strongly preferred
- Proven ability to manage multiple priorities and office functions simultaneously
- Strong organizational, problem‑solving, and multitasking skills
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office Suite and office management systems
- Experience handling confidential information in a professional environment
- Ability to work independently while collaborating effectively with leadership and staff
- Ability to work onsite at the Maple Shade, NJ location
- Experience supporting executive leadership teams
- Background in operational process improvement or office workflow optimization
- Familiarity with compliance‑sensitive or highly regulated industries
