Job SummaryThis position provides administrative support, enabling the Young Life field ministry area office to function in an organized and efficient manner.
Duties- Write and verbal communication:
- Answer correspondence, perform filing, and prepare mailings.
- Answer phones, respond to voicemail, e‑mail and phone calls in a timely and professional manner.
- Gather articles, pictures, layout, production, mail, etc. from area staff for newsletters.
- Create club/event postcards, flyers, maps and send prayer e‑mails, monthly updates, and personal support mailings.
- Create and maintain an area M‑Site.
- Send thank‑you letters to donors.
- Interact with area office assistant, area directors, area committee, volunteer team leaders, and area leaders.
- Administration:
Process and track donations; maintain donor and leader databases, ensuring leader forms, driver questionnaires and background checks are up‑to‑date. - Monthly expenses & budgets:
Manage bank account records, FDT, expense reports, and evaluate financial status each month. - Maintain contact databases:
Update donor, kid, parent, newsletter, banquet, and email distribution lists. - Human Resources for Regional Administrators:
Track vacation, sick and personal days for eligible staff; submit timesheets; complete personnel requests for hiring or termination. - Event administration:
- Coordinate area meetings, including staff, leadership, and committee meetings.
- Track camp participation, payments, health forms, and fundraisers; send letters to parents.
- Responsible for fundraiser marketing; construct and distribute camp brochures.
- Communicate with camp regarding contracts, deposits, housing requests, and call‑ins.
- Banquet and golf marathon: create invitations, sponsor packets, program, donor cards; track guest lists, sponsors, RSVPs, and donations.
- Training:
Provide training to area office assistants, directors, committee members, volunteer team leaders, and area leaders on processes and applications.
Office environment.
EducationHigh school education or equivalent; associate's degree preferred; ongoing education encouraged.
Experience RequiredPrevious administrative assistant experience preferred.
Qualifications- Typing 55–60 words per minute with few errors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and detail orientation skills.
- Ability to handle concurrent tasks and interruptions.
- Good grammar and communication skills.
- Ability to maintain confidentiality.
- Basic accounting skills.
- Initiative with developing processes/systems around events – data organization and maintenance.
- Great customer service skills.
