We are looking for a dependable, upbeat, and customer-focused Service Appointment Coordinator to support our service department through proactive customer outreach, appointment scheduling, and retention efforts. What You’ll DoAs a Service Appointment Coordinator
, you will play an important role in helping customers stay connected to our service department. This position focuses heavily on outbound follow-up, appointment setting, and customer retention, while also assisting with inbound scheduling and customer inquiries as needed.
You will help create a smooth, professional, and welcoming customer experience by reaching out to customers regarding maintenance, repairs, recalls, and recommended services, while ensuring they are connected to the right dealership resources.
Responsibilities- Make outbound calls to customers to schedule service appointments and support retention efforts
- Follow up with customers regarding maintenance, repairs, recalls, declined recommendations, and other service needs
- Re-engage customers who have not yet scheduled or completed recommended service work
- Answer inbound customer calls professionally and efficiently as needed
- Schedule service appointments accurately for maintenance, repairs, recalls, and other recommended services
- Respond promptly to customer inquiries by phone, email, and web inquiry channels
- Provide basic service information and direct customers to the appropriate department when needed
- Accurately document customer communication in CRM and dealership systems
- Work closely with teammates, service staff, and management to support a seamless customer experience
- Participate in team meetings, coaching, and process improvement efforts
We’re looking for someone who is friendly, organized, professional, and comfortable with a high level of phone communication and follow-up activity.
Qualifications- Previous customer service experience required
- Strong communication skills, both verbal and written
- Comfortable spending much of the day on the phone
- Confident making outbound calls and speaking with customers professionally
- Strong computer skills and ability to learn new systems quickly
- Excellent multitasking, organization, and time management skills
- Positive attitude and team-oriented mindset
- Dependable, professional, and eager to learn
- Call center experience
- Appointment setting or follow-up experience
- Customer retention, sales support, or customer outreach experience
- Automotive or dealership experience
- Established, reputable dealership with a strong local presence
- Supportive team environment
