About This JobThis role provides essential administrative support to our planning team, ensuring efficient operations and successful project execution. You act as a central point of contact, managing critical information and coordinating activities that directly impact our strategic goals. Your organizational expertise and proactive approach empower the planning department to achieve its objectives and maintain seamless workflows.
Job Duties and Responsibilities- Manages complex calendars, scheduling meetings, appointments, and travel arrangements for planning leadership.
- Organizes and maintains physical and digital files, ensuring all record keeping systems are accurate and easily accessible.
- Prepares and edits professional documents, presentations, and spreadsheets using Microsoft Office Suite.
- Facilitates internal and external communication, drafting correspondence, emails, and other materials with clarity and precision.
- Supports project coordination by tracking timelines, monitoring deliverables, and assisting with project-related tasks.
- Performs accurate data entry, inputting information into various systems and databases.
- Generates comprehensive report generation from collected data, providing insights and summaries as needed.
- Prioritizes multiple tasks and manages deadlines effectively, demonstrating strong time management skills.
- Acts as a liaison, coordinating information flow between departments and external partners.
- Maintains office supplies and equipment, ensuring the planning department has necessary resources.
- Possesses a high school diploma or equivalent.
- Brings a minimum of two years of administrative experience, preferably in a planning or project-oriented environment.
- Demonstrates expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Applies strong scheduling and calendar management abilities.
- Exhibits excellent communication (written & verbal) skills, with a clear and professional demeanor.
- Possesses exceptional organization skills and meticulous attention to detail.
- Shows aptitude for project coordination and supporting team initiatives.
- Performs accurate data entry and maintains thorough record keeping.
- Capable of efficient report generation and data presentation.
- Utilizes effective time management to prioritize tasks and meet deadlines consistently.
- Holds an Associate's degree in Business Administration or a related field.
- Has experience supporting a planning, operations, or project management team.
- Works primarily in an office environment.
- Sits for extended periods while using a computer and other office equipment.
- Communicates effectively through verbal and written means.
- Occasionally lifts and moves office supplies up to 15 pounds.
