  • Greet patients, families, and visitors in person and ensure a positive first impression.
  • Schedule appointments, intakes, and follow‑up calls as directed.
  • Maintain patient confidentiality and always comply with HIPAA.
  • Complete insurance verification of benefits (VOBs) for all new admissions and scheduled patients (deductibles, copays, out‑of‑pocket max, authorization requirements).
  • Communicate insurance information clearly to the Program Director and admissions/clinical team.
  • Follow up with insurance companies as needed to clarify benefits or resolve discrepancies.
  • Assist the admissions team with intake‑related tasks as assigned (collecting/organizing required documentation, coordinating scheduling, and logistics).
  • Communicate professionally with clinical staff, leadership, insurance representatives, and external partners.
  • Provide administrative support to the Program Director (scheduling, coordination, basic reports/spreadsheets, tracking forms/signatures, supporting compliance logs).
  • Maintain cleanliness and organization of the front desk/lobby/shared areas; monitor supplies and coordinate reorders.
  • Assist with scanning, filing, and document management; support staff with operational tasks as needed.
  • Perform other duties as assigned to support clinic operations.
