The OpportunityThe Front Desk Coordinator is the first point of contact for the clinic and plays a key role in daily operations. This position combines front desk responsibilities, insurance verifications (including verification of benefits/VOBs), admissions support, and direct administrative assistance to the Program Director. The ideal candidate is organized, reliable, comfortable on the phone, and able to manage multiple priorities in a fast‑paced clinical environment.
WhatYou Will Do at Asteroid Health
- Answer all incoming phone calls promptly, professionally, and with a calm, welcoming tone.
- Greet patients, families, and visitors in person and ensure a positive first impression.
- Schedule appointments, intakes, and follow‑up calls as directed.
- Maintain patient confidentiality and always comply with HIPAA.
- Complete insurance verification of benefits (VOBs) for all new admissions and scheduled patients (deductibles, copays, out‑of‑pocket max, authorization requirements).
- Communicate insurance information clearly to the Program Director and admissions/clinical team.
- Follow up with insurance companies as needed to clarify benefits or resolve discrepancies.
- Assist the admissions team with intake‑related tasks as assigned (collecting/organizing required documentation, coordinating scheduling, and logistics).
- Communicate professionally with clinical staff, leadership, insurance representatives, and external partners.
- Provide administrative support to the Program Director (scheduling, coordination, basic reports/spreadsheets, tracking forms/signatures, supporting compliance logs).
- Maintain cleanliness and organization of the front desk/lobby/shared areas; monitor supplies and coordinate reorders.
- Assist with scanning, filing, and document management; support staff with operational tasks as needed.
- Perform other duties as assigned to support clinic operations.
- High school diploma or equivalent required.
- Prior administrative or front desk experience in a medical, behavioral health, substance use disorder treatment, or comparable healthcare setting is preferred.
- A minimum of two years of administrative or front desk experience in a non‑clinical or general office environment is required.
- Insurance verification experience preferred (or willingness to learn quickly).
- Organized, detail‑oriented, dependable; able to multitask and prioritize in a busy clinical setting.
- Comfortable using email, EHR/office systems, spreadsheets, scanners, and basic office technology.
- Discretion and professionalism when handling confidential information.
