Purpose of the JobProvide world‑class customer service and support to the accounting team (internal clients) and, indirectly, to external clients through quality, accuracy, and timeliness of deliverables. Key duties involve scanning incoming documents, printing, mailing checks and reports, and meeting reliability, responsiveness, competence, and quality service standards.
Key Result AreasEssential functions and responsibilities:
- Receive and sort incoming client invoices. Complete the daily request tracker (DRT)
- Load checks in appropriate printers and print checks as requested
- Receive client packets and enter them as received in the mail log
- Scan documents onto the network, confirm scanned documents for completion and quality, and keep appropriate logs for all scanning/imaging work
- Print and quality review 1099 forms
- Print and mail customer deliverables for multiple customers based on set process notes and timelines
- Complete a quality review of deliverables prior to sending
- Troubleshoot basic equipment problems when needed
- Establish strong relationships with accounting staff across the organization
- Provide token codes for bank transfers and clients
- May be required to perform additional office duties occasionally and serve as backup for other clerical positions
- Add postage to mail machine and report as needed

Knowledge and SkillsRequired:
Ability to follow general oral and written directions, enter data into a computer quickly and accurately, organize and manage multiple priorities, work independently, and understand personal computers. Strong interpersonal, communication, organizational skills, deadline adherence, attention to detail, teamwork, and handling of sensitive/confidential materials are essential.
Preferred:
Background in scanning/imaging, good written and verbal communication skills, experience with accounting software, Microsoft Word and Excel, and a 2‑year associate’s degree.
- Serve as a representative of Quatrro to client stores, displaying courtesy, tact, consideration, and discretion in all interactions
- Frequently represent Quatrro to payroll companies and governmental tax agencies, displaying courtesy, tact, consideration, and discretion in all interactions
- Frequently interact with Client FPO employees, client corporate, and local store accountants and CPA firms
- All communications and interactions will be conducted professionally, reflecting Quatrro’s commitment to customer service and regulatory compliance
- Regularly requires talking, hearing, listening, standing, working, sitting, using hands to handle objects, and operating equipment such as computers, keyboards, calculators, writing utensils, paper, telephones, and postage machines
- Ability to reach with hands and arms, stoop, kneel, or crouch
- Spend sustained lengths of time at a computer/work station, using repetitive wrist motion and eye motion when entering data
- Occasionally lift and carry 20 pounds a short distance
Employee must be willing to work at a Quatrro office for a minimum of 40 hours per week.
