HVAC Dispatcher / Coordinator

Pay: Up to $35/hour

Experience: 5+ years office experience (HVAC service dispatching preferred)

Availability: Full-time, on-site

About the Job

We're hiring an HVAC Service Coordinator/Dispatcher to manage scheduling, technician dispatch, and day‑to‑day communication between our field teams, customers, and project partners. This is a critical role that keeps operations running smoothly, ensures accurate project coordination, and maintains strong customer relationships — including support on special projects work.

Key Responsibilities Dispatch & Service Coordination
  • Receive and respond to all client inquiries, service calls, and after‑hours requests
  • Prioritize incoming service tickets and dispatch field technicians accordingly
  • Schedule preventive maintenance visits, repairs, and equipment startups
  • Act as liaison between the office and assigned field technicians
  • Maintain and update the dispatch board, open call reports, and work notes
  • Monitor open work orders and ensure timely resolution and documentation
Customer Relations
  • Follow up on customer issues and ensure satisfaction
  • Coordinate monthly maintenance workload and provide updates
  • Invoice completed jobs and communicate job status with clients
  • Order and track job materials
Special Projects Support
  • Manage quotes and proposals — track from generation through job execution
  • Align workflow with general contractors and subcontractors
  • Coordinate billing and vendor invoicing with the Project Manager and Foreman
  • Prepare weekly technician time reports; verify hours and expenses
  • Enhance service efficiency through continuous improvement
  • Support a strong safety culture by reminding technicians to use PPE and lift protection
Requirements
  • 3+ years of office coordination or dispatching experience (HVAC or trades preferred)
  • Strong communication skills and professional customer service approach
  • Ability to manage schedules, prioritize tasks, and respond quickly to changing needs
  • Familiarity with HVAC service operations and terminology a plus
  • Proven accuracy and attention to detail in timekeeping and documentation
  • Proficient in Microsoft Word, Excel, and Outlook
  • Able to work well with teams and handle deadlines under pressure
