Responsible for purchasing tasks including reviewing requisitions for completeness and accuracy; bid solicitations and quotations; resolving issues regarding invoices, shipments, and returns; supporting higher level purchasing functions; and contributing to the professional development efforts of the department. Work involves supervising and managing all faculty and staff procurement card transactions and reporting to auditors when they require explanations on purchases via these methods of procuring supplies and equipment for Paine College.
Essential Duties and Responsibilities- Maintains highly confidential records regarding procurement cards and must meet mandatory guidelines from Purchasing.
- Work involves supervising and managing all faculty and staff procurement card transactions.
- Maintains records and reports for the accounting office and for the Auditors; identifies, analyzes and evaluates problems with the card program; must maintain and monitor the procurement card; works system to answer questions concerning purchases, available balances, credit limits and to assist departments and individuals with problems in regards to their procurement card; develops and updates Paine College procurement card manual;
trains new employees to PC on the procedures and policies of having a procurement card and assists them with their statements and reports due each month to Purchasing Services and Accounting - Responsible for purchasing tasks to include reviewing requisitions for Purchase Order Completion.
- Always providing effective customer service to internal and external customers.
- Providing reports to the Chief Financial Officer on a monthly basis pertaining to P-Card transmittals as well as Procurement Activities as requested.
- Contributing to the professional development efforts of the department.
- Candidate must be professional and a team player.
- Record, classify, and reconcile financial transactions in accordance with GAAP and nonprofit accounting standards.
- Process accounts payable and accounts receivable, ensuring accuracy and timeliness.
- Assist with budget preparation, expenditure monitoring, and financial forecasting for academic and administrative units.
- Prepare monthly, quarterly, and annual financial reports for internal leadership and external stakeholders.
- Support annual financial audits by providing documentation, reconciliations, and compliance reports.
- Ensure compliance with federal, state, and higher education financial regulations
The successful candidate will have:
- 1 year of minimum experience
- Knowledge of Personal Computers, Microsoft Office
- Effective communication (verbal and written)
- Ability to multitask
- Capable of working in a diverse environment
- Capable of always being professional
Preferred:
- At least five years of experience
- Travel may be required due to training or conferences.
- Weekend work may be required close to year end deadlines.
- Some work may include going on site visits, or training in various departments.
