Position Purpose

The Start-Up & Commissioning Project Coordinator is responsible for leading the planning, coordination, documentation, and field execution required to start, test, verify, and turn over HVAC and mechanical systems on assigned projects. Success in this role requires anticipating commissioning needs, coordinating technicians and trade partners, resolving deficiencies, maintaining accurate documentation, and ensuring systems are delivered safely, efficiently, and in accordance with project requirements.

This position works closely with Project Managers, Project Executives, field leadership, controls, service/start-up technicians, subcontractors, vendors, commissioning agents, engineers, and customers to remove obstacles and drive projects from construction completion through functional testing, owner acceptance, and turnover.

What Success Looks Like
  • Develop and maintain a clear start-up and commissioning plan that aligns with the project schedule and turnover milestones.
  • Keep start-up technicians, vendors, controls, and field teams coordinated so equipment and systems are ready when needed.
  • Identify, track, and drive resolution of deficiencies that could delay testing, commissioning, or owner acceptance.
  • Maintain complete, accurate start-up, testing, commissioning, and turnover documentation.
  • Build strong working relationships with project teams, commissioning agents, engineers, vendors, and customers while protecting Maxair’s interests.
Key Responsibilities Operational Leadership
  • Plan and coordinate equipment start-up, pre-functional checks, functional performance testing, and commissioning activities for assigned projects.
  • Develop look-ahead schedules and manpower plans for start-up and commissioning activities in coordination with the project schedule.
  • Confirm systems are ready for start-up by coordinating completion of installation, power, controls, piping, ductwork, TAB prerequisites, and manufacturer requirements.
  • Coordinate factory-authorized representatives, vendors, subcontractors, controls providers, TAB contractors, and internal technicians.
  • Track equipment status, deficiencies, punch-list items, retesting, and completion dates; elevate issues before they affect milestones.
  • Review plans, specifications, submittals, sequences of operation, and commissioning requirements to understand testing and turnover obligations.
  • Maintain start-up reports, checklists, commissioning forms, test records, deficiency logs, and project completion documentation.
People Leadership
  • Set clear daily and weekly priorities for start-up and commissioning personnel and provide timely direction and feedback.
  • Promote safe work practices, quality workmanship, accountability, and professional communication during testing and turnover activities.
  • Support the development of technicians and field leaders by sharing system knowledge, lessons learned, and commissioning best practices.
Customer & Business Leadership
  • Communicate proactively with Project Managers, customers, commissioning agents, engineers, and field leaders regarding status, risks, deficiencies, and upcoming testing needs.
  • Represent Maxair professionally during commissioning meetings, inspections, functional testing, and owner demonstrations.
  • Coordinate warranty/start-up issues and ensure open items are assigned, documented, and driven to closure.
  • Support project closeout by helping ensure required training, O&M information, test documentation, and commissioning records are complete.
  • Make timely decisions that protect schedule, quality, customer relationships, and project profitability.
Qualifications
  • Strong commercial HVAC/mechanical systems experience, including equipment start-up, controls, and system operation.
  • Working knowledge of HVAC equipment, hydronic systems, air systems, controls sequences, and commissioning processes.
  • Ability to read construction drawings, specifications, submittals, control diagrams, and sequences of operation.
  • Strong planning, troubleshooting, communication, documentation, and decision-making skills.
  • Ability to coordinate multiple trades, vendors, technicians, and project stakeholders under changing field conditions.
  • OSHA 30 Certification and valid driver’s license required based on company standards.
  • Proficiency with Excel, Word, Outlook, project management/job cost software, and electronic commissioning documentation.
