Hi-Vac Corporation is looking for a proactive and detail oriented Contract Accounting Specialist to assist our sales and customer service efforts within the manufacturing industry. This role combines strong communication and sales skills with a solid understanding of basic accounting functions such as invoicing, pricing accuracy, and order entry.
Key Responsibilities:
- Manage and grow assigned customer accounts through inbound and outbound communication.
- Generate accurate quotes, process orders, and track shipments to ensure on-time delivery.
- Manage rental accounts including equipment inventory and monthly billing paperwork.
- Collaborate with the accounting team to ensure correct pricing, apply discounts, manage credit terms, and verify invoice accuracy.
- Handle customer inquiries related to pricing, billing, payment status, and product availability.
- Review and enter purchase orders, ensuring they align with internal pricing and terms.
- Maintain detailed and accurate records in CRM and ERP systems.
- Partner with production and logistics to meet delivery commitments and resolve issues.
- Assist in preparing sales reports, forecasts, and tracking performance against targets.
Qualifications:
- 2+ years of inside sales experience, preferably in a manufacturing or industrial environment.
- Basic accounting knowledge (e.g., invoicing, credit memos, pricing structures, POs).
- Familiarity with ERP/CRM systems (recommended)
- Excellent verbal and written communication skills.
- High level of accuracy and attention to detail.
- Associate’s degree in business, Accounting, Marketing, or a related field preferred.

- Experience working with cross-functional teams (e.g., accounting, production, logistics).
- Strong organizational skills with the ability to manage multiple tasks.
- Strong customer service and relationship-building mindset.
