Job Purpose

This position supports the Trust & Investment Services teams by managing daily document processing, mail handling, client onboarding, meeting coordination, and related administrative tasks. The role assists marketing, middle‑office support, and regulatory requirements, ensuring a positive client experience and meeting department projects and events.

Job Duties
  • Scan and index daily work for the TIS team.
  • Create, edit, and maintain department forms and documentation.
  • Process marketing requests and collaborate with the marketing team.
  • Sort and distribute mail; execute routine and special mailings.
  • Order supplies and support organization.
  • Provide middle‑office hunt group phone coverage.
  • Answer client calls regarding web access issues.
  • Assist with client onboarding, new account packets, and client gifts.
  • Coordinate department meetings, lunches, and events.
  • Greet and direct clients to appropriate team members.
  • Gather information for client meetings.
  • Review and assist clients with Medallion Stamp documents; execute the annual Medallion Stamp audit.
  • Complete special projects as assigned.
Education,

Job Skills and Qualifications
  • High School Diploma.
  • Experience with document imaging systems, scanning, indexing, and electronic records management.
  • Strong attention to detail and accuracy in document handling and review.
  • Ability to create, edit, and maintain internal and external forms and documentation.
  • Understanding of document control, versioning, and approval workflows.
  • Organizational and time‑management skills with the ability to prioritize and multitask.
  • Strong verbal and written communication skills; excellent telephone communication.
  • Professional client service skills, including front‑line client interaction.
  • Mail processing, sorting, distribution, and fulfillment experience.
  • Coordination of meetings, calendars, and departmental events.
  • Middle‑office operational support and hunt group phone coverage experience.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience with Adobe Acrobat.
  • Ability to handle confidential and sensitive client information with discretion.
  • Teamwork and collaboration across departments.
  • Flexibility to assist with special projects and shifting priorities.
  • Forms design, layout, or advanced document editing experience.
  • Marketing support experience, including processing requests and coordinating updates.
  • Client web access or basic technical troubleshooting support.
  • Event planning or coordination experience.
  • Medallion Stamp certification (or willingness to obtain).
Basic Qualifications
