Job Purpose:

This position is to support the efficient daily operations of the Trust & Investment Services (TIS) teams by ensuring the accurate processing of scanned documents, organization, and creation and workflow management of department forms, communications, and client materials. This role serves as a key administrative and operational resource by providing document management, mail processing, client onboarding support, meeting coordination, and client-facing assistance.

The position also supports marketing initiatives, middle-office phone coverage, and regulatory requirements, including Medallion Stamp review and annual audits, while contributing to a positive client experience and assisting with department projects and events.

Responsibilities
  • Responsible for scanning and indexing daily work for TIS team.
  • Creating, editing, and maintaining department forms and documentation in accordance with established processes and approval requirements.
  • Processing marketing requests and working closely with the marketing team for changes and updates.
  • Responsible for sorting and distributing mail.
  • Execute routine and special mailings for the department (birthday cards, quarterly newsletters, special market mailings, etc.
  • Assist with ordering supplies or organization.
  • Assist in middle office support hunt group phone coverage.
  • Will be responsible for answering calls from clients to support web access issues.
  • Assist team with client onboarding new account packets, new client gifts, etc.
  • Coordinate department meetings, lunches, events.
  • Greet and direct clients to the appropriate team member.
  • Assist in gathering information for client meetings.
  • Review and assist clients with Medallion Stamp documents.
  • Execute annual audit of Medallion Stamp.
  • Will complete special projects as assigned.
Education,

Job Skills and Qualifications
  • High School Diploma.
  • Experience with document imaging systems for scanning, indexing, and electronic records management.
  • Strong attention to detail and accuracy in document handling and review.
  • Ability to create, edit, and maintain internal and external forms and documentation.
  • Understanding of document control, versioning, and approval workflows.
  • Organizational and time management skills with the ability to prioritize and multitask.
  • Strong verbal and written communication skills, especially telephone communication.
  • Professional client service skills, including frontline client interaction.
  • Mail processing, sorting, distribution, and fulfillment.
  • Coordination of meetings, calendars, and departmental events.
  • Middleoffice operational support and hunt group phone coverage.
  • Proficient in Microsoft Office Suite (Word, Excel and Outlook).
  • Experience in utilizing Adobe Acrobat software.
  • Ability to handle confidential and sensitive client information with discretion.
  • Teamwork and collaboration across departments.
  • Flexibility to assist with special projects and shifting priorities.
  • Forms design, layout, or advanced document editing experience.
  • Marketing support experience, including processing requests and coordinating updates.
  • Client web access or basic technical troubleshooting support.
  • Event planning or coordination experience.
  • Medallion Stamp certification (or willingness to obtain).
