Position Overview

We are looking for a friendly, organized, and dependable Office Manager to help support the daily operations of a growing manufacturing facility. This person will play an important role in keeping the office running smoothly, assisting employees, coordinating administrative needs, and serving as a welcoming point of contact for employees, customers, vendors, and leadership.

Key Responsibilities Human Resources & Employee Support
  • Help coordinate employee recruitment efforts, support hiring needs, managing agency contracts, and assisting with employee documentation such as work authorization or visa-related records.
  • Provide support with employee-related matters, including attendance tracking, payroll system support, employee requests, health insurance coordination, reimbursements, holiday gifts, and other employee services.
  • Assist with company branding needs, including ordering or coordinating branded shirts, equipment, signage, and other company materials.
  • Pitch in with additional HR-related needs as they come up.
Administration & Office Operations
  • Help maintain and coordinate company documents, approvals, and compliance-related records, including occupancy permits, fire department approvals, periodic plant inspections, forklift inspections, insurance documents, and other required paperwork.
  • Support day-to-day office needs at the plant, including repairs, supplies, and general facility support.
  • Print and prepare signs using the laser printer as needed.
  • Serve as the main phone receptionist and provide friendly, professional communication support.
  • Assist with basic bookkeeping duties, including depositing checks and supporting financial recordkeeping.
  • Help schedule meetings for leadership, including customer meetings, vendor meetings, and internal team meetings.
  • Coordinate hospitality and travel arrangements, including flights and accommodations for customers, visitors, and company needs.
  • Complete additional administrative tasks assigned and help wherever needed to support the team.
Qualifications
  • Bilingual preferred.
