Why This Role MattersAs a Client Service Representative, you are often the first person clients connect with when they need assistance, guidance, or support. Your ability to create a welcoming experience, manage important administrative processes, and keep daily operations running smoothly helps strengthen client relationships and supports the success of the agency. At Douce James, you'll work alongside a team committed to delivering personalized insurance solutions across home, auto, life, retirement, commercial, farm, crop, and investment services.
This position plays an important role in ensuring clients receive responsive service while supporting agency teams with essential administrative and operational functions.
- Welcome clients and visitors with a professional, friendly, and service-focused approach.
- Answer incoming calls and direct clients and business partners to the appropriate team members to ensure timely assistance.
- Process account requests, changes, and payments accurately while maintaining excellent client service.
- Coordinate and confirm appointments, meetings, and office activities to support efficient agency operations.
- Organize and distribute incoming and outgoing mail, helping maintain smooth day-to-day workflows.
- Maintain records, files, correspondence, and administrative documentation to support accurate and efficient operations.
- Support special projects through research, document preparation, data entry, and general office assistance.
- Help create a professional, organized, and welcoming office environment for clients, team members, and visitors.
- Customer-focused and genuinely enjoy helping people solve problems and find answers.
- Organized and detail-oriented, with the ability to manage multiple priorities effectively.
- A strong communicator who interacts professionally and confidently with clients, colleagues, and business partners.
- Reliable and accountable, with the ability to work independently while contributing to team success.

- Committed to accuracy and quality in administrative and customer service work.
- Comfortable using technology and office systems to support daily responsibilities.
- 3 to 5 years of experience in customer service, administrative support, clerical support, office support, or a related role.
- High school diploma or equivalent.
- Strong verbal and written communication skills, including excellent grammar, spelling, and punctuation.
- Exceptional customer service and interpersonal skills with a professional and approachable demeanor.
- Strong organizational skills and attention to detail.
- Demonstrated ability to prioritize tasks, manage time effectively, and work independently.
- Proficiency with Microsoft Office Suite and standard office technology and equipment.
- Ability to collaborate effectively within a team-oriented environment.
- Associate degree.
- Previous experience in an insurance agency, financial services office, or professional services environment.
- Experience supporting client account administration and office operations.
- Familiarity with agency management systems or customer relationship management software.
