Position: Executive Assistant to the Chairman (Mandarin/Cantonese Required) | Senior Level Role

Senior-Level Role | CAD 75, (depending on experience)

We are seeking a senior-level, high-trust Executive Assistant to support the Chairman of a private investment and asset management platform focused on commercial real estate and long-term operating business investments.

This is not a junior administrative role.

This is a Chairman-level execution and coordination position designed to protect time, enhance decision-making efficiency, and support disciplined investor communication.

The Role

This position combines high-level Executive Assistant responsibilities with Investor Relations coordination. It requires strong judgment, exceptional organizational ability, and experience supporting senior leadership in investment-driven environments.

You will work full-time and exclusively with the Chairman.

This role does not independently represent investment decisions or make commitments.

Core Responsibilities

1. Executive Support (Primary Focus)

  • Manage the Chairman’s calendar, priorities, and meeting flow
  • Prepare meeting briefs, agendas, and background materials
  • Capture key decisions, action items, and structured follow-ups
  • Convert ideas and discussions into clear summaries, memos, and presentations
  • Protect time and streamline daily execution

2. Investor Relations Coordination

  • Track investor meetings, communications, and follow-ups
  • Maintain a structured investor contact list and interaction records
  • Coordinate presentation materials and investor summaries
  • Support scheduling and post-meeting documentation
  • Manage and update presentation materials
  • Coordinate with finance, legal, banking, and advisory teams
  • Organize complex information into concise, actionable formats
Work Structure & Flexibility

This role supports the Chairman directly and may require occasional flexibility beyond standard business hours.

When additional time is required outside regular hours, time off will be provided in lieu, including:

  • Additional paid time off
  • Compensatory days off

The objective is a sustainable, long-term working relationship based on mutual trust and responsibility - not ongoing overtime.

What You Bring

Minimum 5+ years of experience in one or more of the following:

  • Executive Assistant to Chairman / CEO / Partner-level leadership
  • Family Office, Private Equity, Real Estate, or investment platforms
  • Investment banking, consulting, or senior executive support roles
Additional Requirements
  • Strong written and spoken English
  • Mandatory:
    Mandarin or Cantonese language skills
  • Excellent judgment and discretion
  • Strong prioritization and execution discipline
  • Highly organized, calm, and detail-oriented
  • Comfortable in a fast-paced, high-trust environment
Preferred
  • Experience supporting investor relations or capital-related work
Location

Markham, ON (Full-time, in-person)

Compensation

CAD 75, annually (based on experience)
