Smith and Long is seeking a Fleet Administrator to join our team in Markham.

Responsibilities
  • Driver Support:
    Provide top-tier customer service to drivers regarding vehicle issues, maintenance, licensing, and general inquiries.
  • Maintenance Coordination:
    Minimize downtime by proactively scheduling preventive maintenance and coordinating necessary repairs.
  • Data Integrity:
    Maintain accurate data within the fleet portal and Acumatica (tracking fuel, tolls, maintenance, and mileage).
  • Compliance & Licensing:
    Manage vehicle licensing, plate renewals, permit stickers, and critical CVOR documentation.
  • Cost Management:
    Actively monitor fleet costs to identify potential savings in fuel, tolls, and repair expenditures.
  • Lifecycle Management:
    Oversee the ordering of new vehicles and coordinate the disposal of end-of-life units.
  • Reporting:
    Keep fleet inventory, documents, and operational reports up to date.
Qualifications
  • Professional Background: 1–3 years of experience in fleet, logistics, or a high-volume administrative support role.
  • Tech Savvy: 1+ years of experience with IoT and tracking systems (e.g., Fleet Freedom, Samsara).
  • Data Mastery:
    High attention to detail with strong data accuracy skills; proficient in Excel and capable of managing competing priorities.
  • Communication:
    Strong verbal and written communication skills with a customer-service-first orientation.
  • Asset:
    Previous experience with Acumatica or specialized fleet management systems is considered a significant asset.
